  • Coordinate and schedule surgical and office-based procedures ordered by providers in a timely and accurate manner.
  • Maintain and manage physician schedules to optimize coordination between hospital and clinic procedures.
  • Verify patient insurance coverage and obtain required prior authorizations for surgical and in-office procedures.
  • Identify and coordinate any specialized equipment, instrumentation, or personnel required for scheduled procedures.
  • Obtain necessary medical clearances and required documentation prior to scheduled procedures.
  • Assist with patient checkout processes and provide scheduling support to the front office team as needed.
  • Communicate effectively with patients, provider offices, hospitals, surgical centers, and insurance carriers to coordinate care.
  • Maintain accurate documentation of scheduling activities, authorizations, and patient communications in the electronic medical record (EMR) system.
  • Provide exceptional customer service to patients, families, colleagues, and external partners.
  • Maintain strict confidentiality of patient information in compliance with HIPAA regulations.
  • Maintain an organized, professional, and clean workspace.
  • Support onboarding and training of new employees as a preceptor when assigned.
  • Perform additional duties as assigned by supervisors or management.
  • High school diploma or equivalent required.
  • Prior experience in medical scheduling, surgical scheduling, referral coordination, insurance verification, or a healthcare administrative role preferred.
  • Knowledge of medical terminology and insurance authorization processes preferred.
  • Proficiency in Microsoft Office and healthcare scheduling or EMR systems.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and priorities in a fast-paced healthcare environment.
  • Strong interpersonal skills with the ability to work collaboratively across departments.
  • Ability to follow established policies, procedures, and office protocols.
  • Professional demeanor with strong customer service orientation.
  • Demonstrates discretion, tact, and diplomacy when handling sensitive information.
