Job Summary

  • The Spare Parts Executive is responsible for managing the day to day operations of the spare parts department, ensuring timely availability, inventory control, distribution, and documentation of spare parts to support business operations and customer requirements efficiently.

Key Responsibilities

  • Plan, monitor, and replenish spare parts inventory to ensure continuous availability of required materials for operational and customer needs.
  • Process spare parts inquiries, quotations, and orders from walk in customers, branches, and internal departments through email and telephone.
  • Maintain accurate inventory records and conduct regular stock monitoring to ensure inventory accuracy and minimize shortages or excess stock.
  • Coordinate with suppliers, procurement, and logistics teams to ensure timely ordering, shipment, and receipt of spare parts.
  • Prepare and maintain all spare parts related documentation, including stock transfers, delivery notes, invoices, purchase orders, and inventory reports.
  • Ensure all requisitions, inquiries, and customer requests are attended to within agreed timelines and communicated effectively.
  • Monitor and track spare parts deliveries to branches and customers across UAE, Oman, Qatar, and other assigned locations.
  • Support operations teams by providing accurate spare parts information and ensuring smooth handover of data and documentation.
  • Maintain an organized filing system, both physical and electronic, for all spare parts records and documents.
  • Generate and submit periodic reports on inventory status, stock movement, consumption trends, pending orders, and department performance.
  • Conduct regular stock counts and assist in inventory audits to ensure compliance with company policies.
  • Identify opportunities for inventory optimization, cost reduction, and process improvements within the spare parts function.

Required Skills & Competencies

  • Strong knowledge of inventory management and stock control procedures.
  • Proficiency in ERP systems and Microsoft Office applications, especially Excel.
  • Good communication and customer service skills.
  • Strong organizational and documentation abilities.
  • Attention to detail and accuracy.
  • Ability to work under pressure and meet deadlines.
  • Problem solving and analytical skills.
  • Team player with the ability to coordinate effectively with multiple departments.
