Shipping Coordinator

Position Overview

Shipment Coordination

• Coordinate inbound and outbound shipments across air, sea, road, and courier networks.
• Manage bookings, monitor shipment progress, and resolve delays, documentation issues, and transportation exceptions.
• Coordinate urgent and critical shipments and ensure customer and business delivery commitments are achieved.

Documentation and Compliance

• Prepare and validate commercial invoices, packing lists, certificates, declarations, and other shipping documents.
• Verify commodity descriptions, HS codes, values, origin information, and Incoterms.
• Support customs clearance and maintain audit-ready shipping and compliance records.
• Ensure compliance with UAE Customs, Free Zone requirements, company policies, and regional import and export obligations.

Logistics Operations

• Coordinate daily logistics activities among warehouse, operations, quality, customer service, and finance teams.
• Support inventory movements, intercompany transfers, shipment readiness, GRN verification, reconciliation, and inventory records.
• Ensure logistics transactions are accurately processed within ERP systems.

Tracking and Reporting

• Maintain shipment trackers and order visibility tools and provide regular status updates.
• Produce KPI reports covering on-time delivery, shipment backlog, transit performance, documentation accuracy, and customs compliance.
• Escalate risks that may affect customer deliveries or business commitments and support logistics dashboards.

Vendors and Regulatory Support

• Act as the day-to-day contact for freight forwarders and transportation providers and monitor carrier performance.
• Support freight cost tracking, transportation efficiency, supplier performance improvement, and resolution of provider issues.
• Coordinate product certification, export certification, customer-specific, and regulatory documentation.

Continuous Improvement

• Identify opportunities to reduce lead times, improve delivery performance, enhance logistics efficiency, and increase data accuracy.
• Support standard operating procedures, automation, and digitalization initiatives within logistics operations.

Requirements

• Diploma or bachelor's degree in logistics, supply chain management, business administration, international trade, or a related discipline.
• Five to seven years of experience in logistics, shipping, import/export coordination, freight forwarding, or supply chain operations.
• Experience with international shipments, customs documentation, freight forwarders, customs brokers, transportation providers, and 3PL providers.
• Experience with inventory reconciliation, inventory controls, and inventory accuracy across logistics and warehouse operations.
• Knowledge of import and export procedures, UAE Customs and Free Zone requirements, Incoterms, freight forwarding, HS codes, ERP systems, Microsoft Excel, and reporting tools.
• Oil and gas experience is highly desirable, while manufacturing, industrial equipment, or other industrial-sector experience is an asset.

Workplace and Employment

• This is a full-time, office-based position requiring regular onsite presence.
