Overview

The Senior Officer – Facility Management is responsible for overseeing day-to-day facility management operations across the real estate portfolio, ensuring efficient maintenance, vendor performance, cost control, and compliance with contractual and regulatory requirements.

The role manages tenant transitions, maintenance coordination, cost allocation between landlord and tenant, procurement processes, and service charge and utility oversight, ensuring operational continuity and optimal asset condition.

Manage and coordinate all facility management activities across the portfolio, ensuring assets are maintained to required standards, operational issues are resolved efficiently, and services are delivered in line with SLAs and budgets.

Strategic Responsibilities

  • Support implementation of facility management strategies aligned with asset performance objectives
  • Identify cost optimization opportunities across maintenance, utilities, and service contracts
  • Contribute to FM budgeting (Opex/Capex) and financial planning
  • Monitor market benchmarks for FM services and vendor performance
  • Ensure compliance with internal policies, audit requirements, and UAE regulations

Operational Responsibilities

1.

Oversee maintenance activities to ensure timely closure and SLA compliance

2.

Manage tenant move-in and move-out processes, including inspections, handovers, and unit restoration

3.

Review technical reports and assess maintenance scope, ownership (landlord vs tenant), and urgency

4.

Obtain and evaluate quotations; ensure accurate cost segregation and documentation

5.

Coordinate with insurance providers for claims validation and processing

6.

Raise and track PRs, GRNs, and invoices in line with approved budgets and procurement processes

7.

Monitor FM service provider performance, ensuring adherence to SLAs and KPIs

8.

Maintain maintenance logs, contracts, warranties, and service records

9.

Ensure timely renewal and proper management of FM contracts and agreements

10.

Manage service charge processes including cost allocation, reconciliation, and recovery

11.

Oversee chilled water billing verification and resolve related discrepancies

12.

Prepare periodic reports, dashboards, and MIS updates for management

13.

Ensure compliance with HSE standards, internal governance, and audit requirements

14.

Coordinate with internal and external stakeholders for seamless FM operations
