The Opportunity

The Ministry of SaskBuilds and Procurement, Property Management branch is looking for a highly motivated and value-oriented individual for the position of Senior Administrative Support in the Saskatoon Office. This position will provide key clerical and administrative support to the Property Management Branch. The successful candidate will be required to operate and maintain office equipment such as photocopiers and facsimiles; create/type various documents/spreadsheets; enter and retrieve data using various software programs; maintain files/records and retrieve and search files for information. You will also be responsible for the handling of personal and confidential information, and for the processing of accounts receivable and accounts payable invoices. You will also provide records management; supervision of the administrative unit; general office duties and other duties as assigned. You will be required to complete both archive filing and electronic filing and create ministry spreadsheets and reports, and general correspondence. Knowledge of archive filing systems, procurement, and visual identity are required for this position. You must possess considerable experience in progressively more responsible Administrative Support positions and have demonstrated excellent and positive communication and interpersonal skills, sound judgment and a keen sense for detail. You will also have knowledge of Administrative Records Management System (ARMS) 2014, archive filing and electronic filing, as well as experience with GEM and contract administration. You will be approachable, courteous, cooperative and flexible when dealing with co-workers and clients both in person and by telephone. Your attentiveness to detail and self-confident approach to resolving problems makes you an ideal candidate for this administrative position.

Responsibilities

  • Develop and deliver orientation and training programs for new employees.
  • Provide on-going guidance and coaching to staff to support strong performance and quality service delivery.
  • Supervise administrative operations, managing high volumes of information, inquiries, and system workflows to ensure efficiency.
  • Identify and implement process improvements to enhance productivity and service outcomes.
  • Provide clear, accurate, and audience-appropriate responses to inquiries.
  • Build and maintain collaborative relationships with internal and external stakeholders to support organizational goals.
  • Analyze issues, recommend practical solutions, and apply relevant legislation, policies, and procedures to daily operations.
  • Perform budget-related calculations and process financial transactions accurately.
