- Manage the COO's calendar, appointments, meetings, and daily schedule.
- Prepare, draft, and maintain correspondence, reports, presentations, and meeting minutes.
- Maintain project records, contracts, technical documents, and confidential files.
- Monitor incoming and outgoing correspondence and ensure timely follow up.
- Prepare and organize operational reports and project status updates.
- Track action items and follow up with relevant departments to ensure timely completion.
- Assist in preparing project documentation and contract related correspondence.
- Ensure the confidentiality of sensitive company and project information.
Requirements
- Bachelor's degree or Diploma in Business Administration or related field
- 1–2 years of experience as an Executive Secretary or Personal Assistant, preferably in contracting or construction
- Excellent command of English (Arabic is an added advantage)
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Excellent organizational, communication, and time management skills
- High level of integrity, discretion, and confidentiality

Overview
- Zoya Developments is seeking a highly organized, proactive, and professional Secretary to the Chief Operations Officer (COO) to provide comprehensive administrative and executive support.
Key Responsibilities
- Manage the COO's calendar, appointments, meetings, and daily schedule.
- Prepare, draft, and maintain correspondence, reports, presentations, and meeting minutes.
- Maintain project records, contracts, technical documents, and confidential files.
- Monitor incoming and outgoing correspondence and ensure timely follow up.

Qualifications & Requirements
- Bachelor's degree or Diploma in Business Administration or a related field.
- 1–2 years of experience as an Executive Secretary or Personal Assistant, preferably within the contracting or construction industry.
- Excellent command of English (Arabic is an added advantage).
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
- Experience with document control systems will be an added advantage.
- Excellent organizational, communication, and time management skills.
- Ability to work under pressure and manage multiple priorities with professionalism.
- High level of integrity, discretion, and confidentiality.
