Job Purpose
The Sales Coordinator – International, supports the international sales team by coordinating export operations, managing order processing, preparing quotations and reports, and facilitating communication between internal teams and international clients.
The role ensures efficient export operations, accurate documentation, and timely coordination of orders, samples, and promotional materials to support smooth sales processes, timely deliveries, and effective client engagement across international markets.
Quotation & Order Management
- Support Business Development Managers in preparing price lists and quotations for international clients.
- Coordinate with Customer Service for the preparation and issuance of Proforma Invoices (PI).
- Ensure Proforma Invoices are confirmed by customers and follow up on required approvals.
- Monitor and follow-up on customer payments to support timely collection and order processing.
- Track order status and ensure alignment with agreed delivery timelines.
Coordination & Communication
- Liaise with the Production Planning team to ensure customer ETD and ETA requirements are met.
- Coordinate with Customer Service, logistics, finance, and warehouse teams to ensure smooth export operations.
- Provide regular updates to international clients regarding order status, shipment progress, and delivery schedules.
- Support Business Development Managers and the Sales Director with operational coordination and internal communication.
Sample & Promotional Material Management
- Coordinate preparation and shipment of product samples for international clients.
- Monitor inventory and availability of brochures, catalogues, and promotional materials.
- Assist in preparing materials and logistics required for local and international exhibitions and trade shows.
Documentation & Record Management
- Maintain export sales records, documentation, and filing systems in accordance with internal procedures.
- Ensure export documentation complies with company policies and international trade requirements.
- Maintain accurate and up-to-date international sales databases.
Reporting & Sales Monitoring
- Prepare weekly export sales reports for management review.
- Monitor pending Proforma Invoices, payment status, and delivery timelines.
- Provide regular updates with the Sales Director and Business Development Managers regarding export performance and operational status.
Ad-Hoc & Operational Support
- Support Business Development Managers and the Sales Director with administrative and
- operational tasks as required.
- Assist with cross-functional initiatives involving sales, logistics, marketing, and finance
- teams.
- Contribute to process improvement initiatives to enhance efficiency in export operations
Experience Requirement
- Minimum 2–4 years of experience in sales coordination, export operations, or commercial administration, preferably within FMCG or international trade environments.
- Experience coordinating export orders, documentation, and logistics processes.
- Strong reporting, coordination, and communication skills.
- Proficiency in Excel and sales reporting tools.
- Ability to manage multiple priorities in a fast-paced commercial environment.
- Bachelor’s degree in Business Administration, Marketing, or related field.
- Strong command of English.
