Summary: The Executive Secretary (Bilingual – English & Arabic) plays a critical role in supporting senior management within a dynamic corporate environment in the UAE.
This position ensures the seamless operation of executive office functions by managing complex schedules, coordinating high-level communications, and maintaining confidentiality and accuracy across all administrative tasks.
The ideal candidate will be a highly organized, bilingual professional with proven experience in executive support, capable of navigating fast-paced environments with precision and discretion.
Their contributions are essential to maintaining operational efficiency and professional standards at the executive level.
Responsibilities
- Manage executive calendars, appointments, meetings, and travel arrangements
- Prepare reports, presentations, official letters, and meeting minutes
- Handle confidential documents and maintain organized filing systems
- Coordinate with clients, suppliers, and internal departments professionally
- Screen calls, emails, and correspondence on behalf of management
- Monitor deadlines, follow up on pending tasks, and ensure smooth workflow
- Support day-to-day office administration and executive coordination
- Maintain accurate records, documentation, and office databases
Requirements
- Fluency in both English and Arabic (written and verbal) is mandatory
- Proven experience as an Executive Secretary, Executive Assistant, or Administrative Coordinator
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Professional approach with attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to work independently and manage confidential information with discretion
Preferred Qualifications
- Experience in a corporate or multinational environment
- Prior UAE or GCC experience is advantageous
- Strong time-management and coordination skills
