Overview

The Receptionist provides comprehensive front-desk management and vital administrative support.

In Dubai's fast-paced market, this position demands a professional demeanor to welcome international investors, engineers, and suppliers, alongside the organizational agility to handle site-related paperwork, delivery tracking, and document coordination.

Key Responsibilities

  • **Visitor & Site Personnel Management**
  • : Greet and manage check-ins for clients, consultants, subcontractors, and laborers.
  • Issue visitor or safety passes according to security protocols.
  • **Communication & Switchboard Control**
  • : Screen, answer, and direct high volumes of incoming calls and emails to project managers, estimators, or procurement teams.
  • **Logistics & Delivery Coordination**
  • : Coordinate the receipt of incoming and outgoing mail, project blueprints, tender packages, and material samples.
  • Liaise with courier services frequently.
  • **Administrative & Project Support**
  • : Maintain and index physical and digital project files, company records, and databases.
  • Assist the Document Controller or HR with workforce timesheet collection and basic data entry.
  • **Meeting Room Management**
  • : Schedule, book, and prepare meeting spaces for crucial executive, client, or subcontractor alignment sessions.
  • **Office Supply Monitoring**
  • : Track and place orders for office inventory, pantry items, and occasionally basic safety equipment (PPE) for visitors.

Skills

  • **Education**
  • : High school diploma or a Bachelor's degree in Business Administration or a related field.
  • **Experience**
  • : Minimum 5–7 years of reception or admin experience within the UAE, specifically inside the construction, or engineering sectors.
  • **Language Skills**
  • : Native or highly fluent English language proficiency (both spoken and written) is mandatory.
  • **Technical Skills**
  • : Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with ERP systems or construction management software is a strong advantage.
