Job Summary

We are seeking a highly organized and proactive Real Estate Executive Secretary / Administrator to provide executive-level administrative support and ensure smooth daily office operations.

The ideal candidate will assist management and sales teams by handling correspondence, coordinating schedules, preparing real estate documentation, maintaining records, and supporting property transactions.

Experience in the real estate industry and strong administrative skills are preferred.

Key Responsibilities

  • ⁠ ⁠Provide administrative and secretarial support to management and sales teams
  • ⁠ ⁠Manage calendars, appointments, meetings, and travel arrangements
  • ⁠ ⁠Handle incoming calls, emails, and client inquiries professionally
  • ⁠ ⁠Prepare, review, and organize contracts, agreements, and property documents
  • ⁠ ⁠Coordinate with clients, brokers, developers, banks, and government authorities
  • ⁠ ⁠Maintain and update property listings, databases, and CRM systems
  • ⁠ ⁠Monitor transaction progress and ensure timely submission of documents
  • ⁠ ⁠Prepare reports, presentations, invoices, and correspondence
  • ⁠ ⁠Handle filing, scanning, and document control procedures
  • ⁠ ⁠Assist in marketing activities, social media updates, and advertisement postings
  • ⁠ ⁠Maintain office supplies and oversee general office administration
  • ⁠ ⁠Ensure confidentiality of company and client information

Qualifications & Requirements

  • ⁠ ⁠Minimum 2–3 years of administrative or secretarial experience, preferably in real estate
  • ⁠ ⁠Strong knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • ⁠ ⁠Familiarity with CRM systems and property portals is an advantage
  • ⁠ ⁠Excellent written and verbal communication skills
  • ⁠ ⁠Strong organizational and multitasking abilities
  • ⁠ ⁠Professional appearance and customer service skills
  • ⁠ ⁠Ability to work under pressure and meet deadlines
  • ⁠ ⁠Knowledge of UAE real estate documentation and procedures is preferred
