Responsibilities
- Manage listings, approvals, and permits through NADM and Trakheesi
- Ensure all property listings are accurate, compliant, and optimized across portals
- Assist in processing tenancy contracts, Forms A, B, F
- Handle CRM data management, reporting, and transaction tracking
- Prepare, review, and manage all real estate documentation and forms
- Ensure full compliance with DLD, RERA, and AML requirements
- Monitor compliance and guide agents on correct procedures
- Prepare daily, weekly, and monthly operational reports
- Oversee and improve internal administrative and operational processes
- Follow up with manager, clients, and developers
Requirements
- Minimum 5 years of experience in Dubai real estate administration / operations
- Strong understanding of Real Estate and Real Property processes, documentation, and terminology
- Proven Customer Service skills
- Sales support capabilities, including lead tracking and follow up coordination
- Strong organizational and time management skills
- Proficiency in office software (e.g., MS Office, spreadsheets) and familiarity with CRM or real estate listing platforms
- Effective written and verbal communication skills in English
- Tagalog Speaker is a must
- Ability to work on site in Dubai

Role Description
- Support daily office operations, including managing property listings, maintaining databases and CRM records, and preparing documentation such as contracts, A, B, F, tenancy agreements, and transaction files.
- Coordinate property viewings, handle appointment scheduling, and communicate with clients, agents, and external partners to ensure smooth processes.
- Assist with marketing activities by organizing property photos, updating online listings, and supporting basic promotional efforts.
- Respond to client inquiries, track leads, organize files, and provide general administrative support to the sales and real estate team.

Qualifications

- Proficiency in office software (e.g., MS Office, spreadsheets) and familiarity with CRM or real estate listing platforms.
- Effective written and verbal communication skills in English; additional languages are a plus.
- Ability to work on site in Dubai, collaborate with a diverse team, and manage multiple tasks in a fast paced environment.
- Previous experience in a real estate office or administrative role is preferred; relevant diploma or degree is an asset.
- Tagalog Speaker is a must
