Purchase Executive - Marketing [Central Procurement]

Role Overview

Key Responsibilities

• Review Coupa purchase requisitions for complete scopes, specifications, quantities, delivery timelines, and supporting documents.
• Clarify incomplete requirements with requesting divisions and keep requisition statuses updated in Coupa.
• Identify UAE suppliers, issue RFQs or RFPs, and obtain complete and comparable offers.
• Coordinate technical reviews, samples, or site visits with requesting divisions and suppliers.
• Prepare commercial comparisons, support negotiations, and document recommended suppliers and agreed terms.
• Maintain Coupa records of quotations, communications, approvals, negotiation results, and procurement savings.
• Support supplier registration by collecting documents and coordinating the approved onboarding process.
• Follow purchase orders through delivery, service completion, GRN, invoice, and payment-related coordination.
• Escalate delivery, quality, scope, or supplier-performance issues to the Procurement Manager.
• Follow procurement policy, approval limits, confidentiality requirements, and approved-PO controls.

Marketing Procurement Responsibilities

• Source events, exhibitions, activations, branding, signage, printing, promotional items, creative services, and related marketing requirements.
• Confirm briefs include artwork, dimensions, quantities, locations, material specifications, installation needs, and delivery dates.
• Coordinate design reviews, mock-ups, samples, and production approvals before mass production begins.
• Monitor urgent campaign and event timelines and raise sourcing or production risks early.

Qualifications and Experience

• Bachelor's degree in supply chain, business administration, marketing, commerce, or a related field.
• Three to five years of procurement experience, ideally including two years in the UAE market.
• Hands-on experience buying marketing services, printing, branding, events, or promotional materials is strongly preferred.
• Strong written and spoken English, solid UAE supplier knowledge, and comfort working to short delivery timelines.

Key Skills

• Coupa or a similar procurement system.
• Supplier sourcing and commercial comparison.
• Strong negotiation and advanced Excel skills.
• Clear stakeholder communication.
