Ministry Function: The Puerto Rico Administrative Assistant serves the ministry of Convoy of Hope (COH) by providing administrative support to the team in Puerto Rico (PR).

• Provides administrative support to the Program Director and acts as the administrative point of contact for the Puerto Rico team.
• Receives and compiles monthly reports from Puerto Rico Program Centers.
• Supports the PR team with communications, meeting planning, calendar maintenance, and document storage.
• Assists the PR team with projects and facilitates working group activities including scheduling volunteers and guests, as assigned by the Puerto Rico Program Director.
• Sorts, responds to, and forwards all Puerto Rico inquiries via web referral, mail, and phone, as appropriate.
• Supports the preparation of the expense report for the Finance team.
• Meets periodically with the Puerto Rico Program Director and Puerto Rico Program Coordinator to analyze the program budget.
• Makes quotes and analysis of the purchase of goods and services.
• Helps prepare MOU, check requests, vouchers, invoices, etc.
• Orders and inventories equipment, furniture, and supplies in the office and program centers.
• Supports in the preparation of logistics for the visit of staff and volunteers from the office: US Hotel, transportation, translation.
• Travel with United States office personnel to program centers as required.
• Supports the preparation of materials for presentations to partners and donors, utilizing administrative data as required.
• Help with the planification and preparation of receiving Field Teams.
