1. Property Operations Management

  • Oversee day-to-day property operations.
  • Ensure buildings, facilities, and common areas are maintained properly.
  • Coordinate with the Facility Management Contractors on Day to Day cleaning, landscaping, security, waste management, and utilities.
  • Conduct routine inspections and preventive maintenance.
  • Ensure compliance with health, safety, and municipal regulations.

2. Tenant & Occupancy Management

  • Manage tenant onboarding and move-ins/move-outs.
  • Handle lease agreements, renewals, and terminations.
  • Address tenant complaints, service requests, and disputes.
  • Maintain positive tenant relationships to improve retention.
  • Monitor occupancy levels and leasing performance.

3. Financial Management

  • Prepare and manage operational budgets.
  • Monitor income, expenses, and cash flow.
  • Approve invoices and oversee vendor payments.
  • Coordinate rent collection and arrears follow-up.
  • Prepare financial reports for property owners or investors.
  • Support annual audits and financial compliance.

4. Vendor & Contractor Management

  • Source, evaluate, and appoint service providers.
  • Negotiate contracts and service-level agreements (SLAs).
  • Supervise contractor performance and quality standards.
  • Ensure vendors comply with insurance and safety requirements.

5. Maintenance & Asset Preservation

  • Implement preventive and corrective maintenance programs.
  • Coordinate emergency repairs and incident response.
  • Monitor building systems such as HVAC, elevators, plumbing, and electrical systems.
  • Track asset condition and recommend capital improvements.

6. Legal & Regulatory Compliance

  • Ensure compliance with lease obligations and local property laws.
  • Maintain permits, licenses, and inspection records.
  • Coordinate insurance policies and claims management.
  • Support dispute resolution and legal proceedings when necessary.

7. Reporting & Documentation

  • Maintain accurate property records and documentation.
  • Prepare operational and performance reports.
  • Track KPIs such as occupancy, maintenance response time, and budget variance.
  • Maintain digital filing systems and lease databases.
  • Daily Report to the Property Director.

8. Risk & Security Management

  • Monitor security operations and emergency preparedness.
  • Conduct risk assessments and safety inspections.
  • Implement emergency response procedures.
  • Coordinate with security providers and local authorities if needed.
