Job Purpose
The Project Coordinator is responsible for the
execution, coordination, and follow‑up of all customer orders, including project orders
, from sales handover to final delivery and documentation closure.
The role involves
planning, scheduling, expediting, and monitoring project activities
, while proactively identifying and resolving risks or delays that could affect cost, delivery, or customer satisfaction.
The objective is to ensure projects are completed successfully, in line with contractual requirements and company policies.
The Project Coordinator supports the
Operations Manager
and acts as the main link between
Sales, Clients, Suppliers, Logistics partners, and internal teams
during the post‑order stage.
Project Execution & Expediting
Review all assigned orders to ensure contractual, technical, and commercial requirements are clearly understood and met.
Manage order processing from handover, coordinating with Sales, Administrators, QA/QC, Logistics, and other internal teams as required.
Plan, schedule, and expedite projects to meet agreed delivery dates.
Monitor local and overseas suppliers for production progress, inspections, material readiness, and shipping schedules.
Arrange inspection notifications and coordinate with third‑party inspection agencies when required.
Identify and address risks, delays, or deviations related to suppliers, logistics, or stock availability.
Ensure full compliance with specifications, terms and conditions, and company procedures.
Keep ERP system records accurate and up to date, with support from Administrators.
Inform Sales of any technical or commercial issues that may affect pricing or contractual terms.
Provide regular project progress updates to the Sales team.
Project Reporting
Prepare and issue reports as required by contracts, specifications, or internal needs, including:
High‑level progress reports
Detailed progress reports and Gantt charts
Monthly written progress reports
Documentation status reports
Liaison
Take the lead in resolving technical and commercial issues, working closely with the Sales team.
Act as the main point of contact for clients and suppliers after order placement.
Communicate regularly with clients and suppliers to provide project updates.
Visit customers when required to discuss progress or attend meetings.
Work closely with Administrators and other departments to ensure smooth project execution.
Procedures And Quality Assurance
Ensure all project activities comply with applicable regulations, procedures, and quality standards.
Follow up on project performance after delivery.
Maintain accurate and well‑organized electronic project files, including PO copies, reports, and documentation.
Knowledge and Skills requirements:
Bachelor’s degree in Mechanical Engineering.
2 to 5 years’ experience in Project Coordination, Project Execution, or Order Management.
Strong technical knowledge of mechanical products used in energy, oil & gas, building, water, and infrastructure sectors.
Good understanding of the company’s business, products, and markets.
Clear understanding of the full project lifecycle, from tender support to delivery.
Experience working with suppliers, logistics partners, and inspection agencies.
Knowledge of inspection processes, certifications, and project documentation.
Excellent English communication skills, both written and verbal.
Strong planning, organization, and multitasking abilities.
Customer‑focused approach with attention to detail.
Proactive, reliable, and able to work independently as well as within a team.
