Project Coordinator

Requirements

• Coordinate and monitor day-to-day departmental activities to support successful project
• execution.
• Generate, process and track purchase orders in accordance with company procedures.
• Liaise with suppliers and manufacturers to monitor progress, expedite deliveries, and resolve
• schedule issues.
• Track the manufacture and delivery status of project assets and provide regular updates to
• stakeholders.
• Support communication and workflow between Engineering, Procurement, Production and
• Finance teams.
• Assist with budget tracking, cost forecasting and expenditure monitoring across multiple
• projects.
• Process and reconcile supplier invoices, ensuring alignment with purchase orders and
• approved budgets.
• Monitor project costs and highlight variances, risks or discrepancies to relevant stakeholders.
• Maintain financial trackers and support the preparation of project cost and performance
• reports.
• Maintain project schedules, action trackers, records and documentation.
• Organise meetings, prepare agendas, record actions and ensure follow-up activities are
• completed.
• Support reporting activities by collecting and presenting project, operational and financial
• data.
• Ensure departmental documentation is maintained accurately and stored in accordance with
• company processes.
• Identify administrative, financial and process inefficiencies and contribute to continuous
• improvement initiatives.
• Provide general office and operational administration support as required.
• Excellent organisational skills with the ability to manage multiple priorities and deadlines.
• Strong attention to detail and accuracy.
• Effective communicator with internal teams and external suppliers.
• Strong planning and coordination skills.
• Strong financial acumen with the ability to work confidently with budgets, costs, invoices and financial data.
• A natural flair for finance, with strong numerical and analytical skills and the ability to identify trends, discrepancies and cost-saving opportunities.
• Proficient in Microsoft Office applications, particularly Excel, Word and Outlook.
• Ability to maintain project documentation, records and financial trackers.
• Ability to analyse data and produce clear, accurate reports.
• Previous experience in a Project Coordinator, Project Administrator, Operations Coordinator, Procurement Administrator, or similar role.
• Experience in manufacturing, engineering, aerospace, defence or technical environments is desirable.
• Qualification in Business Administration, Project Management, Operations Management or related discipline would be advantageous.
• Familiarity with ERP, MRP or procurement systems is desirable.
• Intermediate to Advanced Excel skills including reporting, data analysis and financial tracking would be advantageous.
