Key Responsibilities
- Coordinate ELWB fellowship and program activities and serve as a primary point of contact for staff, fellows, applicants, and visitors.
- Process and track personnel, travel, training, procurement, timekeeping, and administrative requests.
- Maintain accurate personnel, procurement, travel, applicant, and program records.
- Coordinate onboarding and offboarding activities, including security, access, visitor passes, clearances, and required documentation.
- Support fellowship recruitment, including applicant files, interviews, recruiting materials, scheduling, and communications.
- Develop and deliver training and guidance on administrative processes, relocation, position selection, and program requirements.
- Process stipend and insurance payments for international EIS officers and coordinate related documentation.
- Respond to complex inquiries and provide timely guidance and customer support.
- Coordinate meetings, conferences, training events, and special projects.
- Track supplies and equipment and serve as an alternate property custodian.
- Extract and analyze office/program data and prepare reports, correspondence, spreadsheets, and briefing materials.
- Submit and track requests through CDC systems for travel, procurement, timekeeping, purchase cards, study tracking, agreements, access, and clearances.
- Ensure requests are processed accurately and within established timelines and procedures.
- Coordinate with DWD, MOST, and other stakeholders to resolve issues and support program operations.
- Handle sensitive information and personally identifiable information (PII) in accordance with applicable requirements.
Requirements
- Associate's or bachelor's degree in Business Administration, Public Administration, Management, or a related field, or equivalent experience.
- 2+ years of experience providing program, administrative, or operational support.
