We're looking for a hands-on, deadline-driven coordinator role to drive execution across a fast-moving patient consent program. You'll spend most of your time in the details: chasing owners, updating trackers, running down blockers, and making sure commitments made in meetings happen on the dates promised. You will also be accountable for tracking and optimizing performance metrics across the program by working with key stakeholders throughout the business on strategies, tactics, implementation, and at times change management.
The Mandate
Two growth lanes and one coordination backbone:
Lane 1 — In-Clinic Site Visits & Adoption (71 live clinics): increase consent volume and consistency of the consent workflow at clinics already live, through direct site visits, hands-on troubleshooting, staff engagement, patient communication, and marketing strategies.
Lane 2 — Channel Expansion (in priority order): Direct to Patient Telehealth, Patient
Facing Websites, Online Appointment Booking and other Patient Engagement Channels, and Clinic Network Expansion (i.e. WELL’s Diagnostic Clinics). Expanding consent capture and coordinating pilots with each platform team in that sequence, then scaling rollout.
Coordination backbone: act as the end-to-end coordinator across consent capture, data readiness, and activation requirements for various WELL business units — building a single source of truth, keeping owners and dates current, and escalating blockers fast. This is a “High Agency” position for a results- oriented individual.

Clinic Adoption
Build and run a clinic-by-clinic adoption plan: identify low-adoption clinics, root-cause why (workflow, training, kiosk friction, patient flow), and drive fixes.
Conduct regular in-clinic site visits and follow-up with clinic managers and on-site engagement staff to keep the consent workflow consistently used, not just installed.
Track and report clinic adoption progress against agreed targets; flag data gaps immediately.
Implement patient communication and marketing techniques designed to optimize adoption.
Channel Expansion
Coordinate pilot scoping and readiness for Direct to Patient Telehealth, Patient Facing Websites, Online Appointment Booking and other Patient Engagement Channels, and Clinic Network Expansion (i.e. WELL’s Diagnostic Clinics).
Support and track existing web/portal consent opportunities to ensure they are actively used, not just available.
Data Readiness & Pipeline Coordination
Track the status of consent linkage, EMR connectivity, and data-pipeline work as it affects downstream usability — this role coordinates across teams, it does not build the pipeline itself.
Maintain visibility into refresh cadence, data quality, and withdrawal handling so downstream teams know what they can rely on and when.
Flag any near-term actions that could create technical, privacy, or patient-experience issues.
Activation Coordination
Interface with research and clinical-commercialization stakeholders to confirm what "usable" data means for each, and track delivery against those requirements.
Interface with the marketing team on marketing-consent needs, keeping marketing and research consent strictly separate in tracking and reporting.
Report on the full funnel: patient exposure through submission, conversion, linkage, and usable activation.
Program Governance
Build and maintain one integrated tracker across capture, data readiness, and activation — owners, dates, dependencies, status, in one place.
Maintain a risk/issue log and a running decision log.
Identify the critical path and top blockers weekly; escalate what needs executive attention rather than letting it stall.
What Success Looks Like
First 30 days: Tracker stood up with named owners and dates; clinic and conversion baselines established; first risk/decision log delivered.
First 60 days: Measurable improvement on clinic adoption; first channel pilot ready; first cross-team data-usability report published.
First 90 days: Demonstrated improvement against agreed adoption and conversion targets; additional channel(s) live or launch-ready; clear recommendation on next steps for the role.
