- Manage and maintain the CEO's calendar, appointments, and meeting schedules
- Coordinate internal and external meetings, including preparing agendas and meeting materials
- Screen phone calls, emails, and correspondence on behalf of the CEO
- Draft, edit, and prepare letters, reports, presentations, and other business documents
- Arrange domestic and international travel, including flights, accommodation, visas, and itineraries
- Take meeting minutes and track follow up actions
- Handle confidential information with the highest level of discretion
Requirements
- Proven experience as an Executive Secretary, Personal Assistant, Executive Assistant, or similar role
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent verbal and written communication skills
- Outstanding organizational and time management abilities
- High level of integrity, professionalism, and confidentiality
- Fluency in English

Job Summary
- The Personal Secretary to the CEO is responsible for providing comprehensive administrative and secretarial support to ensure the efficient operation of the CEO's office.
- The role requires excellent organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast paced environment.
Key Responsibilities
- Manage and maintain the CEO's calendar, appointments, and meeting schedules.
- Coordinate internal and external meetings, including preparing agendas and meeting materials.
- Screen phone calls, emails, and correspondence on behalf of the CEO.
- Draft, edit, and prepare letters, reports, presentations, and other business documents.
- Arrange domestic and international travel, including flights, accommodation, visas, and itineraries.
- Take meeting minutes and track follow up actions.
- Handle confidential information with the highest level of discretion.
- Coordinate with senior management, clients, partners, and stakeholders.
- Organize events, conferences, and executive functions as required.
- Maintain filing systems and ensure proper record management.
- Monitor deadlines and remind the CEO of important commitments and deliverables.
- Assist with personal tasks and special projects assigned by the CEO.
Qualifications and Requirements
- Bachelor's degree in Business Administration, Management, or a related field (preferred).
- Proven experience as an Executive Secretary, Personal Assistant, Executive Assistant, or similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Outstanding organizational and time management abilities.
- Ability to prioritize tasks and work under pressure.
- High level of integrity, professionalism, and confidentiality.
- Strong attention to detail and problem solving skills.
- Experience managing executive travel and schedules.
- Fluency in English; additional languages are an advantage.
Compensation
- Pay: AED3,000.00 AED3,500.00 per month
