Payroll Specialist

Role Purpose

Payroll Management

• Process end-to-end payroll accurately and within defined timelines.
• Maintain payroll records including salaries, allowances, deductions, overtime, leave, EOSB, and reimbursements.
• Ensure payroll compliance with company policies and labor regulations.
• Coordinate with HR, Finance, and employees regarding payroll inputs and validations.
• Handle payroll reconciliations and generate payroll reports for management review.
• Manage final settlements, leave encashments, and employee benefits calculations.

Data & Reporting

• Analyze payroll data and identify discrepancies, trends, and process improvement opportunities.
• Prepare monthly, weekly, and ad-hoc payroll reports and dashboards.
• Maintain accurate employee master data within HRMS/payroll systems.
• Ensure high levels of data integrity, confidentiality, and accuracy.

Systems & Automation

• Work with payroll software, ERP systems, biometric attendance systems, and HRMS platforms.
• Utilize advanced Excel functions (Pivot Tables, VLOOKUP/XLOOKUP, formulas, dashboards, data validation, etc.).
• Leverage AI tools and automation platforms to improve payroll efficiency and reporting accuracy.
• Identify opportunities to streamline payroll workflows and reduce manual processes.

Employee Support

• Act as the point of contact for payroll-related employee queries.
• Provide clear explanations regarding salaries, deductions, leave balances, and benefits.
• Coordinate with internal departments to resolve payroll discrepancies promptly.

Compliance & Audit

• Maintain payroll documentation and audit-ready records.
• Support internal and external payroll audits.
• Ensure compliance with statutory requirements, labor laws, and company policies.

Required Skills & Competencies

• Strong numerical and analytical skills.
• Advanced Microsoft Excel proficiency.
• Strong understanding of payroll systems and HRMS platforms.
• Comfortable working with data, reports, formulas, and reconciliations.
• Knowledge of AI tools, automation tools, and digital process improvement.
• Excellent attention to detail and accuracy.
• Strong organizational and time-management skills.
• Ability to handle confidential information professionally.
• Strong communication and interpersonal skills.
• Problem-solving mindset with a passion for process optimization.

Preferred Qualifications

• Bachelor’s degree in HR, Finance, Accounting, Business Administration, or related field.
• Minimum 3–5 years of payroll experience.
• Experience handling payroll for large employee volumes is preferred.
• Experience in UAE payroll and labor law is an advantage.
• Experience with ERP/HRMS systems such as SAP, Oracle, Zoho, Odoo, or similar platforms is preferred.
