Responsibilities
- Manage patient scheduling and rota coordination across multiple disciplines
- Greet and check in families with kindness and warmth
- Handle phone, WhatsApp, and email enquiries promptly and accurately
- Process new patient registrations, insurance details, and consent documentation
- Coordinate with insurance team for authorisations and follow ups
- Maintain accurate patient records and appointment logs
- Support billing and payment collection at the front desk
- Communicate schedule changes, cancellations, and reminders to families
- Assist with day to day admin tasks such as appointment confirmations and correspondence
Requirements
- Minimum 2 3 years' experience in a clinic, hospital, or healthcare front desk/coordinator role
- Excellent written and spoken English
- Proven ability to manage multi practitioner scheduling without errors
- Strong attention to detail for handling insurance paperwork and consent forms
- Calm, unflustered manner under pressure
- Basic proficiency in scheduling software or willingness to learn

Key responsibilities
- Manage patient scheduling and rota coordination across multiple disciplines, avoiding clashes and accounting for practitioner availability, leave, and travel
- Greet and check in families with kindness and warmth
- Handle phone, WhatsApp, and email enquiries promptly and accurately, escalating clinical questions to the appropriate person
- Process new patient registrations, insurance details, and consent documentation correctly the first time
- Coordinate with insurance team for authorisations and follow ups
- Maintain accurate patient records and appointment logs
- Support billing and payment collection at the front desk
- Communicate schedule changes, cancellations, and reminders to families in a timely, clear manner
- Assist with day to day admin: Appointment confirmations, and other correspondence as needed
You should apply if you have
- Minimum 2 3 years' experience in a clinic, hospital, or healthcare front desk/coordinator role
- Excellent written and spoken English (Arabic is a strong advantage given our patient base)
- Proven ability to manage multi practitioner scheduling without errors
- Strong attention to detail — this role involves handling insurance paperwork and consent forms where mistakes have real consequences
- Calm, unflustered manner under pressure (busy waiting rooms, upset parents, last minute changes)
- Basic proficiency in scheduling software or willingness to learn our systems quickly
