About Addmind

  • Addmind is a privately owned hospitality group with a portfolio of restaurants, bars, lounges, beach clubs, nightlife and hotels.
  • We are seeking a highly organized and detail oriented Personal Assistant to support our Partner in a fast paced hospitality and entertainment environment.

Key Responsibilities

  • Manage the Partner's calendar, appointments, meetings, and travel arrangements.
  • Screen and prioritize emails, phone calls, and correspondence.
  • Prepare reports, presentations, meeting agendas, and other business documents.
  • Coordinate personal and business related errands as required.
  • Maintain confidential records and handle sensitive information with discretion.
  • Organize meetings, take minutes, and follow up on action items.
  • Liaise with internal departments and external stakeholders on behalf of the Partner.
  • Coordinate directly with artists, DJs, booking agents, tour managers, and management teams before, during, and after events.
  • Ensure all artist riders are received, reviewed, and fulfilled in collaboration with relevant departments.
  • Arrange flights, hotel accommodations, airport transfers, local transportation, and itineraries.
  • Prepare detailed artist schedules and distribute them to relevant operational teams.
  • Coordinate backstage requirements, dressing rooms, hospitality, and VIP requests.

Qualifications

  • Bachelor's degree preferred.
  • Minimum 3 years' experience as an Executive or Personal Assistant, preferably within hospitality, nightlife, entertainment, or events.
  • Previous experience coordinating artists or VIP guests is highly desirable.
  • Excellent verbal and written communication skills in English (additional languages are an advantage).
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Experience with scheduling and travel management.

Working Environment

  • Fast paced nightlife and entertainment environment.
  • Availability outside standard office hours during events and artist performances.
  • Frequent interaction with international artists, management teams, VIP guests, and senior executives.
