About the Role
Addmind Hospitality seeks a highly organized Personal Assistant to support a Partner in a fast-paced hospitality and entertainment environment. Responsibilities
- Manage the Partner's calendar, appointments, meetings, and travel arrangements
- Screen and prioritize emails, phone calls, and correspondence
- Prepare reports, presentations, meeting agendas, and other business documents
- Coordinate directly with artists, DJs, booking agents, tour managers, and management teams before, during, and after events
- Ensure all artist riders are received, reviewed, and fulfilled in collaboration with relevant departments
- Arrange flights, hotel accommodations, airport transfers, local transportation, and itineraries
- Prepare detailed artist schedules and distribute them to relevant operational teams
- Coordinate backstage requirements, dressing rooms, hospitality, and VIP requests
- Serve as the main point of contact for artists and their teams while they are on site
- Assist with planning and coordination of nightclub events
Requirements
- Bachelor's degree preferred
- Minimum 3 years' experience as an Executive or Personal Assistant, preferably within hospitality, nightlife, entertainment, or events
- Previous experience coordinating artists or VIP guests is highly desirable
- Excellent verbal and written communication skills in English (additional languages are an advantage)
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Experience with scheduling and travel management
- Flexibility to work evenings, weekends, and public holidays

- We are seeking a highly organized and detail oriented Personal Assistant to support our Partner in a fast paced hospitality and entertainment environment.
Key Responsibilities
- Manage the Partner's calendar, appointments, meetings, and travel arrangements.
- Screen and prioritize emails, phone calls, and correspondence.
- Prepare reports, presentations, meeting agendas, and other business documents.
- Coordinate personal and business related errands as required.
- Maintain confidential records and handle sensitive information with discretion.
- Organize meetings, take minutes, and follow up on action items.
- Liaise with internal departments and external stakeholders on behalf of the Partner.
- Coordinate directly with artists, DJs, booking agents, tour managers, and management teams before, during, and after events.

Qualifications
