Operations Program Managers

Responsibilities

• Coordinate faculty recruitment and appointment activities, track changes, and appointment actions for Volunteer Adjunct, Adjunct, Clinical, Research, Tenure, Visiting, and Lecturer-track faculty. Provide support throughout the faculty hiring process, including recruitment, candidate processing, appointment preparation, and onboarding coordination.
• Prepare required documentation, Chair letters, faculty appointment files, and electronic voting materials.
• Coordinate emeritus faculty requests in accordance with University and School of Medicine guidelines.
• Serve as departmental liaison to Faculty Administration, Human Resources, Mission Based Management and other University partners regarding faculty onboarding, credentialing, and enrollment activities; monitor process status and communicate updates to faculty, divisions, and leadership.
• Coordinate and support faculty review, promotion and tenure processes, including Tenure Faculty Review ( TFR ), and Retention, Promotion, and Tenure ( RPT ) activities, ensuring compliance with departmental and institutional timelines and requirements.
• Manage annual reappointment processes for a large faculty population.
• Maintain official faculty records and ensure data accuracy, confidentiality, and compliance with institutional requirements.
• Advise faculty, administrators, and leadership on faculty affairs policies, procedures, and timelines.
• Prepare reports, queries, and faculty metrics, and data requests; communicate Faculty Affairs updates and policy changes. Analyze faculty workforce data and provide information to department leadership to support planning, compliance, and decision-making.
• Coordinate and maintain faculty affairs records, databases, and reporting systems to ensure data integrity and compliance with University and School of Medicine requirements.
• Lead or participate in process improvement initiatives, documentation development, cross-training activities, and other duties as assigned. Develop and maintain standard operating procedures to promote consistency, efficiency, and continuity across Faculty Affairs functions.
• Collaborate with Faculty Affairs team members to distribute workload, provide operational backup coverage, and ensure continuity of faculty services across recruitment, appointments, reviews, promotions, and record management functions.
