Responsibilities
- Coordinate with venue planners and suppliers to ensure smooth event execution
- Prepare and manage exhibitor manuals, registration processes, and exhibitor communications
- Handle operational requirements for shell scheme, deluxe, and open space exhibitors
- Manage the exhibitor services portal including registrations, approvals, and service orders
- Coordinate with exhibitors, contractors, and venue teams regarding stand construction and venue regulations
- Prepare, update, and manage exhibition floor plans ensuring timely approvals
- Coordinate health and safety approvals, logistics, RTA signage, electricity, and rigging
- Work with Marketing, Design, Sales, Registration, and Project Management teams
- Source and negotiate with vendors and suppliers for competitive pricing
- Coordinate accommodation and logistics for VIP guests, speakers, delegates, and officials
Requirements
- Bachelor's degree in Business Administration, Event Management, Operations, or related field
- 3 5 years of experience in exhibition, conference, or event operations

Job Summary
- The Operations Executive is responsible for planning, coordinating, and executing all operational aspects of exhibitions and conferences.
- The role involves managing exhibitor operations, venue coordination, floor plans, logistics, contractor management, and on site execution.
Key Responsibilities
- Coordinate with venue planners and suppliers to ensure smooth event execution.
- Prepare and manage exhibitor manuals, registration processes, and exhibitor communications.
- Handle all operational requirements for shell scheme, deluxe, and open space exhibitors, including stand specifications, graphics, approvals, and service requests.
- Manage the exhibitor services portal, including registrations, approvals, and additional service orders.
- Coordinate with exhibitors, contractors, and venue teams regarding stand construction, venue regulations, electricity, rigging, catering, security procedures, and dismantling schedules.
- Prepare, update, and manage exhibition floor plans, ensuring timely approvals from venue authorities.
- Coordinate health and safety approvals, logistics requirements, RTA signage, electricity, and rigging for feature areas.
- Work closely with the Marketing, Design, Sales, Registration, and Project Management teams to ensure branding and operational requirements are successfully implemented.
- Coordinate venue branding opportunities and oversee on site execution.
- Source and negotiate with vendors and suppliers to obtain competitive pricing and quality services.
- Coordinate accommodation and logistics arrangements for VIP guests, speakers, delegates, and government officials when required.
- Ensure all operational activities are completed in compliance with venue regulations, project timelines, and company standards.
Qualifications
- Bachelor's degree in Business Administration, Event Management, Operations, or a related field.
- 3–5 years of experience in exhibition, conference, or event operations.
