Job Summary

Operations Coordination

• Oversee daily workflow of the garage to ensure smooth operations
• Coordinate between front desk, mechanics, and management
• Monitor job progress and ensure timely completion of services
• Ensure proper documentation of all job cards and service records

Quality Control

• Inspect completed work to ensure it meets company standards
• Ensure all repairs and services follow approved procedures
• Handle customer complaints related to service quality
• Work with technicians to correct and prevent recurring issues
• Maintain service quality reports and improvement plans

Inventory Management

• Monitor spare parts and consumables stock levels
• Ensure accurate recording of inventory movement
• Coordinate with purchasing for timely stock replenishment
• Prevent stock shortages, overstocking, and misuse of materials
• Conduct regular stock checks and audits
• Track usage of parts per job to control waste

Staff Monitoring And Overtime Control

• Track staff attendance, working hours, and overtime
• Ensure overtime is justified and approved
• Optimize staff scheduling to reduce unnecessary overtime
• Monitor productivity of mechanics and support staff
• Report inefficiencies and suggest improvements

Expense Monitoring

• Track daily operational expenses including parts, tools, and utilities
• Identify areas of excessive spending and recommend cost control measures
• Ensure all expenses are properly recorded and approved
• Work with accounting to verify expense accuracy
• Monitor cost per job and overall operational efficiency

Process Improvement

• Identify operational bottlenecks and inefficiencies
• Implement improved workflows and procedures
• Support automation and system improvements where possible
• Ensure compliance with company policies and safety standards

Reporting

• Prepare daily and weekly operational reports
• Provide updates on inventory status, staff performance, and expenses
• Report key performance indicators such as job completion time, productivity, and cost control
• Assist management in decision-making with accurate data

Requirements

• Bachelor’s degree or diploma in Business Administration, Operations, or related field
• Experience in operations coordination, preferably in automotive or workshop environment
• Strong understanding of inventory and workshop processes
• Ability to monitor performance and enforce quality standards
• Good knowledge of cost control and expense tracking
• Proficiency in Microsoft Excel and basic systems
