Overview

The ideal candidate will be in charge of the organization and efficiency of daily office operations.

From scheduling client meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.

Administrative Support

  • Handle daily office administration, documentation, filing, and correspondence.
  • Prepare quotations, purchase orders, delivery notes, and invoices.
  • Coordinate with suppliers, clients, and internal teams to support project execution.
  • Maintain accurate records of contracts, product specifications, and project documents.
  • Support management with scheduling, follow-ups, and assigned administrative tasks.
  • Assist the Country with delegated responsibilities as required.

Logistics Coordination

  • Manage end-to-end logistics for luxury furniture, including international and localshipments.
  • Coordinate with freight forwarders, couriers, warehouses, and suppliers.
  • Track air, sea, and land shipments and proactively manage delays.
  • Prepare and verify shipping documents (CIPL, packing lists, HS codes, COO, BOE, etc.).
  • Ensure furniture is packed, transported, and delivered according to luxury handlingstandards.
  • Coordinate delivery and installation schedules with project teams.

Procurement & Supplier Coordination

  • Request quotations, lead times, samples, and technical specifications.
  • Follow up on production status, order confirmations, and dispatch schedules.
  • Maintain professional relationships with high-end furniture brands and suppliers.

Inventory & Warehouse Support

  • Coordinate receiving, inspection, tagging, and storage of furniture.
  • Support inventory tracking and stock reporting.
  • Assist in resolving discrepancies or damages.

Customer & Project Support

  • Communicate delivery timelines and updates to clients and project managers.
  • Handle delivery issues, damages, or missing items professionally.
  • Ensure service levels align with luxury brand expectations.
