As an Office Administrator/ Front Desk Receptionist, you are our director of first impressions and the main contact for our visitors and vendors.
You are responsible for providing a welcoming environment to all visitors, vendors, clients, and consultants.
Additionally, you will assist with meeting coordination and presentation setup/breakdown; perform miscellaneous administrative tasks; assist with ordering office supplies and office organization; assist with employee onboarding; and contribute to project-based support as time permits.

What you will do:
- Greet all visitors, vendors, and employees as the face of the office
- Answer incoming general office calls
- Coordinate conference rooms, events, meetings, and culture events
- Manage inventory of office and kitchenette supplies
- Assist with travel reservations, manage office calendars, and distribute mail
- Manage coordination with vendors
- Distribute relevant information to staff regarding local activities and events
- Coordinate overall office organization and cleanliness; including ordering of supplies
- Assist with onboarding new employees
- Coordinate regular office maintenance and building services
- Required Qualifications:
- 3 or more years of experience in relevant client-facing customer service role (i.e. administrative assistant or receptionist)
- Mastery of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
- Knowledge and use of Adobe Acrobat and/or Bluebeam
- Knowledge of general business procedures and use of office equipment
- Excellent communication skills, both verbal and written
- Proactive, independent thinker with ability to prioritize work
- High attention to detail and high organizational skills
- Preferred Qualifications:
- Experience in architecture, engineering, or construction (AEC) industry
