Role purpose
The role handles and transfers incoming and outgoing calls through the telephone exchange.
The role supports smooth and trouble-free telephone exchange and fax operations for effective communication.
The direct manager is the Plant Manager or Director, with the IR & Admin Officer as a peer.
Principal accountabilities
- Attend incoming and outgoing calls, provide information, take messages, and transfer calls appropriately.
- Greet visitors and callers, handle inquiries, and direct them according to their needs.
- Maintain telephone exchange and fax registers for official and personal calls and faxes.
- Distribute incoming fax messages to concerned staff members.
- Check and verify telephone bills and prepare deduction reports for personal calls.
- Maintain a directory of important telephone numbers.
- Participate in continual improvement of the OH&S Management System within the area of responsibility.
- Ensure controls for hazards and risks are in place and OH&S targets are achieved.
Performance expectations
- Support smooth operations of the telephone exchange or PABX.
- Apply computer knowledge and operate office equipment.
