Role Responsibilities – Client Data & Fees Management
- Ensure consistent delivery of high-quality services by meeting or exceeding customer expectations, in line with defined Service Level Agreements (SLAs), accuracy standards, and sound business judgment.
- Operational Management & Processing • Receive and monitor instructions via systems (e.g., SSTM) and act on them with appropriate prioritization. • Monitor and process all team activities as per daily checklists and country-agreed standards, ensuring adherence to turnaround times (DOI/SLA). • Ensure all necessary approvals and valid instructions are in place for account creation, modification, closure, and manual revenue reversals.
- Client Data & Static Maintenance • Maintain and update Standing Instruction trackers, including email recipient lists, auto-debit lists, and manual handling records. • Perform daily monitoring of audit confirmations and account searches. • Ensure accurate and timely updates to client data and system records.
- Fees Management & Financial Operations • Monitor receipt of fees, oversee manual tracking of auto-debits, and ensure proper application in relevant systems. • Prepare outstanding bills (fortnightly or as per DOI) and share with CPC or relevant stakeholders. • Prepare and post entries for payments to spokes, third-party agents, and reimbursements as per DOI. • Ensure timely creation of all OPE charges in the system before month-end. • Perform variance analysis and reconciliations to ensure accuracy of financial records.
Strong Project Management and Automation Skills
- Demonstrates excellent project coordination and automation capabilities. • Possesses strong project handling skills with a proactive focus on automation and process improvement. • Effectively manages projects and drives automation initiatives to improve efficiency and controls. • Shows strong ownership in project delivery and automation implementation, contributing to operational excellence.
- Strategy • Awareness and understanding of the Group’s business strategy and model appropriate to the role. • Contribute towards the future strategic direction and process innovation of Securities Services by keeping abreast of changes in customer needs, technology and business environment and taking pro-active steps to embrace and capitalize on these changes. • Support the roll-out of appropriate quality management systems and other initiatives by the Company/Group.
- Business • Supervise and manage the daily activities of Client Data Management and Fees Management in line with established procedures. Support the development and enhancement of CDM and Fees Management systems to meet country, business, and client needs. Implement divisional quality initiatives in line with the Group’s Quality System. Carry out specific duties assigned by team management in accordance with relevant procedures, guidelines, instructions, and standards to meet productivity and service expectations.
- Processes • Ensure consistent delivery of high-quality services to customers through meeting or exceeding customer expectation guided by the Service Level Agreement, efficiency/accuracy standards and good business processes/ judgement
Skills and Experience
- Client Data Management & Maintenance • Expertise in account opening, amendments, SSI maintenance, and account closure • Strong validation and governance of client static data across systems (e.g., Seccure) • Ensures data accuracy and completeness across lifecycle stage
- Data Governance & Data Quality Control • Application of data governance policies, privacy rules, and internal standards • Identification and resolution of data quality issues • Ensuring compliance with regulatory and internal data standard
- Fees Management & Billing Operations • Invoice preparation, fee calculation, validation, and dispatch • Handling revenue adjustments, variance analysis, and auto-debits • Understanding of pricing structures and client billing cycles (EOM, SLA timelines) • Coordination with business for fee approvals and dispute resolution
- Custody Operations & Securities Processing Knowledge • Understanding of custody services, settlement lifecycle, and securities processing • Knowledge of contractual settlement setups and related static data controls
- Regulatory & Compliance Knowledge (KYC / AML / Tax) • Awareness of KYC, AML, and tax reporting requirements • Handling tax forms, TIN/VAT validation, and regulatory data updates • Ensuring compliance during onboarding and data maintenance
