The Aya Healthcare Support Team

This is a newly established and very rapidly growing team within ID Medical.

This team works directly with USA Managers supporting the Aya Healthcare business.

The Recruitment Process

There are generally three screening interviews.

The first with our Pune recruitment team, the second with our UK team who will look to understand your communication skills and the final with the US management.

As part of the selection process, you will be asked to complete a very short assessment which is online and is designed to understand your working strengths.

The Role You Are Applying For

Locums Recruiting Assistant (RA) working as part of the Aya Healthcare support team based in Pune.

This role will support a team of healthcare recruiters and will provide hands on operational support with first class administration in placing healthcare professionals into locum (temporary) assignments in the USA healthcare system.

This role will work on the hours given below supporting the USA based Recruitment Specialist in ensuring all potential healthcare candidates experience the highest standards of customer care and that their documentation and compliance data is complete prior to being considered for any role.

Please note candidates must be comfortable working US-aligned shifts (6:00 a.m.–6:00 p.m.

PT coverage).

Please note that reporting lines will change from time to time in line with organisational changes.

Support & manage a shared pool of up to 150 healthcare professionals from initial registration with Aya, up to and including placing into active assignments.

This will include supporting the Recruiter as follows:

Sending lists of open jobs within the Aya platform matched with healthcare providers expertise
Assist with contract and credentialing workflows, ensuring all documentation such the Aya Application/Release is accurate and submitted on time.
Track activities, update tasks, and maintain records using internal tools (e.g., Nova).
Prepare and send client-facing documentation via Docusign to providers.
Professionally communicate with healthcare providers via phone, email, and text.
Provide general administrative support to the recruiting team, ensuring accuracy, organization, and timely follow-through.
Run a report showing pipeline by “recruiter last note” and supply list of all healthcare providers who will fall out of Aya ownership within the next 30 days
Review recruiter pipelines to ensure healthcare provider profiles are complete and submission ready.
Update and complete tickets and tasks in Nova on a weekly basis
Submit proactive license requests and partner with recruiters to send Aya Application and Release forms to providers.
Monitor and send birthday messages to providers on behalf of you designated teams’ recruiters. (monthly)
