Job Description
Coordinate inbound import logistics from purchase-order creation through customs clearance, warehouse receipt, supplier payment follow-up, and reporting.
Import Orders and Suppliers
- Create import purchase orders according to trade agreements and company import policies and procedures.
- Communicate purchase orders to import suppliers, confirm receipt, and provide shipping requirements and standards.
- Obtain weekly shipment status updates from suppliers.
Shipment Tracking and Documentation
- Track shipments and update the import matrix daily for each purchase order.
- Share the import matrix and purchase-order status with relevant departments and buyers weekly.
- Obtain original shipping documents before shipment arrival and verify compliance with Saudi customs requirements.
- Submit shipping documents to the customs broker and communicate orders and documents to the warehouse.
Warehouse, Costs, and Payments
- Fix landed costs at purchase-order level and verify accuracy against trade agreements and forecasts.
- Follow up on warehouse receiving status and notify relevant departments when shipments are updated in the system.
- Obtain short and damage reports within 48 hours of warehouse receipt and communicate them to suppliers.
- Obtain supplier statements, follow up on payments with accounting, and send payment transfer details to suppliers.
Reporting
- Prepare monthly analysis and service-level reports for import suppliers and shipments.
Skills Description
- At least one year of experience in FMCG retail.
- Excellent communication skills.
- Proficiency in or knowledge of computer software applications, especially Microsoft Excel and Microsoft Word.
- High interpersonal skills for handling sensitive and confidential situations and documentation.
- Excellent English language level.
