Job Description
- We are currently looking to recruit a highly experienced IBDP Coordinator for August, 2026.
Role and Responsibilities
- Administer all aspects of the IBDP program, including maintaining complete records of IB publications.
- Ensure administrative procedures are carried out correctly and deadlines are kept according to IBO instructions.
- Keep copies of all correspondence with IBO including forms, documents, reports.
- Coordinate all IB activities at the school.
- Liaise with those responsible for the timetable to ensure IB requirements are complied with.
- Notify the accounts department of IB payments due.
- Keep the Head of the school consistently informed of IB developments.
- Serve as liaison between administration, staff, students, parents and the IBO.
- Be familiar with all IB procedures as listed in the Handbook.
- Contribute to the marketing of the program within and outside the school.
- Communicate with parents and students providing comprehensive information on the IB program.
- Annually review and revise the HS Handbook to ensure alignment with IB standards.
Ensure Student Success
- Oversee the student selection procedure.
- Meet with potential IB students and parents to determine if the IB Diploma is appropriate.
- Accommodate transfer students by liaising with previous school.
- Ensure accurate student records are maintained.
- Ensure candidates meet program and examination requirements.
- Be informed of the development of each IB student.
- Discuss with students and consult with staff about necessary changes in subject options.
- Ensure candidates are informed of exam procedures and services.
- Liaise with Counselor for further studies, careers, and scholarship guidance.
- Collect, analyze, and share exam results with school leaders and GEMS officials.
Support Teachers
- Establish an internal calendar of deadlines with staff.
- Analyze annual examinations with staff.
- Make arrangements for and provide professional development to IB teachers.
- Provide IB staff advice and support as needed.
- Organize regular staff meetings for discussion of common matters.
- Ensure all IB staff have access to relevant publications and resource materials.
- Ensure all staff are informed of and adhere to IB regulations.
- Coordinate staff participation at IB workshops.
- Inform newly appointed IB staff of all relevant aspects of the program.
- Participate in the selection of IB staff.
- Keep staff informed of current IB developments.
- Ensure adequate supervision of externally taught and self taught languages.
Supervise IB Assessments
- Ensure all staff are informed of relevant assessment procedures.
- Administer the Extended Essay procedure and supervise staff guidance.
- Organize final examinations, orals, and mock examinations.
- Ensure conditions for the conduct of examinations are fulfilled.
- Ensure examination transcripts/Diplomas/Certificates are distributed to candidates.
Manage Resources
- Develop and manage the IB program budget.
- Ensure textbooks, resources and facilities are available according to program needs.
- Liaise with the librarian regarding provision of resource books.
- Teach a load of two courses.
