As an HR Coordinator, you will support essential HR administration activities, including employee record management, professional qualification validation, preparation of letters and employment verifications, and responses to internal and external inquiries.
In this role you will apply your organizational and time management skills, communicate with employees and partners, and provide support across all levels of the organization while managing a variety of administrative priorities in a fast-paced, highly computerized environment.
As part of a collaborative HR team, you will support HR partners and employees across multiple time zones and help deliver reliable, responsive service across the organization.
Your Key Responsibilities
- HR Service Center Support: Be a key point of support for HR programs and procedures by managing HR Service Center tools, HR information systems, and team inboxes to help employees and partners receive timely, efficient responses.
- Employee Records: Update and maintain employee records, including Health, Safety, Security and Environment (HSSE) certifications and employee life-cycle changes.
- Employee Documentation: Prepare and coordinate time-sensitive employee letters and related documentation.
- Employment Verification: Respond to external employment and income verification requests.
- Qualifications Administration: Verify professional qualifications and record them accurately in employee records.
- File Management: Maintain electronic employee files and fulfill document and file maintenance requests.
- Service Delivery: Deliver HR services in accordance with established processes, procedures, and operational metrics that support effective service and best practices.
- HR Administration Coordination: Coordinate with HR teams, Payroll, and third-party vendors to resolve HR administration service requests promptly.
- May perform other administrative tasks as assigned, such as invoice coordination, and Talent Acquisition tasks. Your Capabilities and Credentials
- Experience completing administrative tasks, including preparing letters, correspondence, and related documentation.
- Strong professional customer service skills, with the flexibility to attend meetings during North American time zone hours.
- Ability to follow standard methods and procedures to complete primarily transactional work assignments.
- Strong interpersonal, organizational, time management, and problem-solving skills.
- Excellent verbal and written communication skills, paired with a professional attitude; Fluency in English is required for this role
- Ability to stay focused, manage concurrent deadlines, and maintain close attention to detail.
- Comfort working with diverse individuals at all levels across a geographically dispersed organization.
- Experience working in a team-oriented, collaborative environment.
- Ability to exercise confidentiality, discretion, and sound judgment.
- Ability to learn new processes quickly and adapt to changing priorities.
- Strong Microsoft Office Suite skills; advanced Excel experience is considered an asset.
- Ability to work independently and consistently meet role objectives. Education and Experience
- Minimum 5 years of related work experience or an equivalent combination of education and related experience. Typical office environment—working with computers and remaining sedentary for long periods of time.
