Role Overview
The HR Administrative Assistant provides administrative and customer service support to Staffing, Talent Acquisition and HR Operations by serving as a primary point of contact for general HR and applicant inquiries, coordinating interviews and onboarding logistics, managing shared communications and assisting with routine HR administrative processes.
Essential Functions: (Responsibilities, Tasks, Supervisory Needs)

Serve as the first point of contact for general HR and applicant inquiries, providing basic information and directing inquiries to the appropriate team member
Monitor shared HR inboxes and ensure requests are routed, tracked, and resolved in a timely manner
Schedule interviews, meetings, orientations, and other HR-related appointments
Coordinate interview logistics, including calendars, meeting invitations, travel arrangements, and virtual meeting links
Communicate scheduling and process updates to applicants, employees, and internal stakeholders
Assist with candidate and new hire communications throughout the hiring and onboarding process
Assist HR Operations with data entry, employment verifications, personnel record maintenance, and audit support
Coordinate onboarding activities, including new hire orientation scheduling, badge requests, and pre-employment administrative tasks

Required Qualifications: (Education, Years of Experience, Certifications)
High school diploma or equivalent
Minimum 2 years of administrative, customer service, recruiting coordination, or HR support experience
Bilingual in English and Spanish, with strong verbal and written communication skills.
Preferred Education & Experiences:
Experience in Human Resources, Talent Acquisition, or employee support functions
Experience working with HRIS, ATS, or onboarding systems
Experience supporting high-volume recruiting environments
Knowledge, Skills, and Abilities (KSAs):
Proficiency with Microsoft Office Suite, including Outlook, Word, Excel and Teams
General office administration and customer service experience
Knowledge of Microsoft Office applications and business communication tools
Communicate effectively (English/Spanish) with employees, applicants and managers
Data entry accuracy
Ability handling multiple priorities in a fast-paced environment with strong attention to detail and organization
Ability scheduling meetings, coordinating calendars and managing shared inboxes
