This role requires a dynamic individual who can efficiently manage administrative tasks while providing safe and reliable transportation services for the club’s executives, VIP guests, and other stakeholders.
The successful candidate will exhibit professionalism, discretion, and exceptional organisational skills in all aspects of their work.
JOB OVERVIEW – PURPOSE AND SCOPE
The purpose of the Administrative Assistant and Driver position is to provide comprehensive administrative support to the executive team and ensure seamless transportation services for the club’s high-profile members and guests.
This dual-role position requires a balance of office management responsibilities and the ability to deliver a premium chauffeur experience.
The role involves managing a variety of administrative tasks, such as scheduling, correspondence, and document management, while also being responsible for the safe and timely transportation of executives and guests to various destinations.
The individual in this role must possess excellent time-management skills, be detail-oriented, and have a strong customer service mindset.
Administrative Support
- Provide administrative support to the executive team, including managing schedules, coordinating meetings, and handling correspondence.
- Prepare, organise, and maintain important documents, reports, and records, ensuring they are easily accessible when needed.
- Assist with the planning and coordination of club events, meetings, and special projects, ensuring all logistical aspects are handled efficiently.
- Handle incoming calls, emails, and other forms of communication, directing them to the appropriate parties and responding on behalf of executives when required.
- Manage office supplies and inventory, ensuring the executive office is well-stocked and organised.
Driver Responsibilities
- Provide safe, reliable, and professional driving services for the club’s executives, VIP guests, and other stakeholders, ensuring timely arrival at all destinations.
- Maintain a high level of professionalism and discretion when interacting with passengers, ensuring a positive experience at all times.
- Perform regular vehicle inspections and maintenance checks to ensure the vehicle is in top condition and ready for use at all times.
- Keep the vehicle clean, both inside and out, to reflect the club’s high standards of service.
- Assist passengers with loading and unloading luggage, equipment, or other items as needed.
- Logistics and Coordination:
- Coordinate travel arrangements for executives and guests, including booking accommodations, flights, and other transportation as required.
- Maintain a detailed log of trips, including mileage, fuel consumption, and any maintenance performed, and report any issues to the relevant department.
- Ensure all legal and safety requirements for driving, such as licenses, insurance, and vehicle registrations, are up-to-date and compliant with regulations.
Customer Service
- Act as a point of contact for members and guests requiring transportation services, ensuring their needs are met with the highest level of care and attention.
- Address any concerns or special requests from passengers promptly and courteously, maintaining the club’s reputation for excellence in service.
- Uphold confidentiality and discretion when handling sensitive information or when in the presence of high-profile individuals.
- **Requirements** **ROLE QUALIFICATIONS**
Educational Background
- High school diploma or equivalent; additional administrative or secretarial training is a plus.
- Valid driver’s license with a clean driving record.
Experience
- Minimum of 3-5 years of experience in a similar administrative and driving role, preferably within a high-end hospitality, luxury resort, or corporate environment.
- Proven experience in providing high-level administrative support, including handling confidential information.
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant office management software.
- Strong knowledge of local roads and routes, as well as GPS navigation systems.
Soft Skills
- Excellent organisational and multitasking abilities, with strong attention to detail.
- Strong communication skills, both written and verbal, with the ability to interact professionally with executives, guests, and team members.
- High level of discretion, integrity, and professionalism.
