The Finance Executive will be responsible for managing day-to-day accounting operations, client billing, vendor management, and supporting the finance team with compliance, reporting, and audit requirements.
This role ensures the accuracy of financial data, adherence to internal controls, and smooth coordination across teams in a fast-paced advertising agency environment.
Client & Supplier Management
- Set up new clients and suppliers in NetSuite after reviewing completed forms, ensuring trade licenses are valid and TRN certificates are provided.
- Maintain copies of client POs, contracts, and JCCs in relevant client folders.
- Convert jobs to “Live” status in NetSuite after checking correct client code, proper allocation of third-party costs, and agency fees.
Billing & Accounts Receivable
- Raise and finalize client invoices in line with contracts and dispatch to clients, including uploading invoices in client portals.
- Handle accounts receivables and follow up with clients to ensure timely collection.
- Maintain monthly timesheet reports for clients to support invoicing accuracy.
Supplier & Accounts Payable
- Ensure every supplier invoice has a corresponding PO, complies with VAT requirements, and matches PO details; research and resolve discrepancies before posting in NetSuite.
- Obtain Finance Director’s approval on supplier invoices related to house costs and post in NetSuite.
- Maintain supporting invoices for VAT filing and audit requirements (internal & external).
Cash & Expense Management
- Review and reconcile petty cash balances.
- Process management expense claims when required.
Compliance, Reporting & Audit
- Assist in month-end close through coordination with the finance team.
- Maintain internal finance policies and audit controls.
- Support internal and external audit requirements by ensuring proper documentation.
General Finance Support
- Handle finance admin operations and ad-hoc requests from management.
- Support process improvements and efficiency initiatives within the finance function.
About You
- Strong knowledge of accounting principles, VAT requirements, and compliance in the UAE.
- Proficiency in NetSuite or similar ERP/accounting systems.
- Detail-oriented with excellent organizational skills.
- Strong communication and interpersonal skills to liaise with clients, suppliers, and internal teams.
- Ability to handle multiple priorities in a deadline-driven environment.
- Bachelor’s degree in Accounting, Finance, or related field.
- 2–4 years of accounting/finance experience, preferably in advertising, media, or service industries.
- Hands-on experience with NetSuite is a strong advantage.
- Knowledge of UAE VAT compliance and audit requirements.
