Facilities Management Specialist

Role Overview

Key Responsibilities

• Manage work orders from prioritization and assignment through follow-up, stakeholder communication, and closure.
• Coordinate maintenance for HVAC, electrical, plumbing, fire and life safety, pumps, generators, UPS, and other building systems.
• Plan and monitor preventive and corrective maintenance activities.
• Maintain maintenance records, service reports, asset registers, checklists, and equipment history.
• Manage vendors and subcontractors, including permits, supervision, quality verification, and punch-list closure.
• Coordinate procurement requests, quotations, technical clarifications, and purchase order workflows.
• Support contract administration, renewals, variations, and planned maintenance obligations.
• Conduct site inspections and monitor corrective actions and closeout.
• Maintain QA/QC, asset, inspection, as-built, and O&M documentation.
• Support QHSE and IMS requirements, permit-to-work compliance, risk controls, and incident reporting.
• Support mobilization, demobilization, site readiness, service activation, and operational closeout.
• Monitor invoices, expenditure, budget variances, and facilities KPIs.

Qualifications and Experience

• Bachelor's degree in Facilities Management, Engineering, Building Services, or a related discipline.
• At least 10 years of relevant facilities, maintenance, MEP, property management, or related experience.
• NEBOSH and IOSH certifications are required.
• Strong technical knowledge of building maintenance systems and MEP services.
• Hands-on experience with CMMS and work-order management systems.
• Experience with vendors, subcontractors, procurement, invoices, budgets, and KPI reporting.
• Experience supporting multi-site facilities management operations.

Preferred Qualifications

• IFMA FMP/CFM, BOMI, or another relevant facilities management certification is advantageous.
• Exposure to MEP projects, fit-outs, EPC, refurbishment, building handovers, or similar projects is advantageous.

Professional Skills

• Strong understanding of QA/QC documentation, asset registers, as-built drawings, O&M manuals, inspection records, and audit-ready documentation.
• Strong organizational, communication, coordination, and stakeholder management skills.
• Ability to manage multiple priorities and respond effectively to operational and technical issues in a fast-paced environment.
