1. ROLE OBJECTIVE

The Executive Secretary to the Chairman’s Office provides comprehensive, high-level administrative, secretarial, and strategic support to the Chairman.

Operating as the primary gatekeeper and liaison, this role ensures the seamless execution of daily operations, high-profile communications, and strategic initiatives across all Vertix Holdings subsidiaries (including Capstone Real Estate and Servco Facilities Management).

This position requires a professional of exceptional caliber who commands absolute discretion, high emotional intelligence (EQ), and impeccable organizational skills.

Calendar & Schedule Optimization

  • **Active Gatekeeping:** Manage and optimize the Chairman’s complex calendar, prioritizing meeting requests, resolving scheduling conflicts proactively, and shielding the Chairman from non-essential disruptions.
  • **Meeting Preparedness:** Ensure the Chairman is fully briefed and possesses all necessary documentation, agendas, and briefing notes prior to all internal and external engagements.
  • **Subsidiary Coordination:** Schedule and coordinate quarterly reviews, board meetings, and urgent alignments with subsidiary heads, executive directors, and the COO.

Communication & Liaison Management

  • **Bilingual Correspondence:** Draft, review, and translate highly sensitive official correspondence, board resolutions, memos, and emails in both flawless English and formal Arabic.
  • **Stakeholder Relations:** Act as a polished, professional point of contact for high-profile clients, governmental authorities, VIP partners, and royal family offices.
  • **Incoming Intelligence:** Review, prioritize, and route incoming mail, invitations, and telephone inquiries, executing immediate follow-up as required.

Information Security & Document Control

  • **Absolute Confidentiality:** Maintain the highest level of confidentiality regarding personal, corporate, financial, and strategic business matters.
  • **Executive Archiving:** Design and maintain a secure, logical, and highly organized digital and physical filing system for active contracts, corporate files, and sensitive legal documentation.
  • **Board Secretarial Duties:** Attend Board of Directors and executive committee meetings; record highly accurate minutes of meetings (MoM), distribute action logs, and systematically track task completion.

Travel & Executive Logistics

  • **End-to-End Itineraries:** Coordinate complex local and international travel arrangements, including private/commercial flights, luxury accommodation, visa requirements, ground transport, and dynamic expense tracking.
  • **Guest Relations:** Oversee hospitality and protocol logistics for foreign dignitaries and key business partners visiting the Chairman’s Office.**Education & Experience**
  • **Academic Background:** Bachelor’s degree in Business Administration, International Relations, English Literature, or a related discipline. Must be Arabic speaker.
  • Pay: AED3,000.00 - AED4,000.00 per month
