Role Overview

  • The Executive Secretary will provide comprehensive administrative support to senior executives, ensuring smooth and efficient operation of daily activities.
  • The ideal candidate will possess excellent English communication skills, prior experience in the construction industry, high professionalism, and ability to manage multiple tasks in a fast paced environment.

Key Responsibilities

  • Manage and coordinate executive calendars, appointments, meetings, and travel arrangements
  • Handle, screen, and prioritise incoming calls, emails, and correspondence
  • Prepare, edit, and format reports, presentations, and business documents
  • Maintain an organized and efficient filing system for easy document retrieval
  • Coordinate meetings, conferences, and internal/external events
  • Record meeting minutes and ensure accurate documentation and follow ups
  • Monitor and manage office supplies and administrative requirements
  • Draft routine communications and professional correspondence
  • Assist in the preparation and review of contracts, reports, and official documents
  • Maintain strict confidentiality of sensitive information
  • Perform additional administrative duties as assigned by management

Requirements

  • Female Arabic speaker (preferred)
  • Proven experience as an Executive Secretary, Personal Assistant, or in a similar role
  • Prior experience in the construction or real estate sector is highly preferred
  • Strong organizational and multitasking abilities with attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills in English and Arabic
  • Ability to work under pressure and meet tight deadlines
  • Strong interpersonal skills with a professional demeanor
  • High level of discretion and confidentiality
  • Excellent time management and problem solving skills
  • Bachelor's degree in Business Administration or a related field (preferred)
