Key Responsibilities
- Manage and maintain the Managing Director’s calendar, appointments, meetings, and travel arrangements.
- Prepare, draft, review, and distribute correspondence, reports, presentations, meeting minutes, and official documents.
- Coordinate internal and external communications on behalf of management.
- Organize and schedule meetings, conferences, and business appointments.
- Prepare meeting agendas, record minutes, and monitor follow-up actions.
- Handle incoming calls, emails, letters, and inquiries professionally and confidentially.
- Maintain filing systems, records, contracts, and company documents in both hard and electronic formats.
- Assist in preparing reports, presentations, proposals, and business documentation.
- Coordinate with departments, clients, suppliers, government entities, and stakeholders as directed by management.
- Monitor and track pending tasks, deadlines, approvals, and action items.
- Ensure proper safekeeping of confidential and sensitive company information.
- Support management in administrative, operational, and project-related activities.
- Arrange travel bookings, accommodations, transportation, and related logistics when required.
- Perform other administrative and secretarial duties assigned by management.
Qualifications
- Bachelor's Degree or Diploma in Business Administration, Office Management, Secretarial Studies, or a related field.
- Minimum 3–5 years of experience in executive secretarial, administrative, or office management roles.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills in English; Arabic is an advantage.
