Key Responsibilities

  • Manage and maintain the Managing Director’s calendar, appointments, meetings, and travel arrangements.
  • Prepare, draft, review, and distribute correspondence, reports, presentations, meeting minutes, and official documents.
  • Coordinate internal and external communications on behalf of management.
  • Organize and schedule meetings, conferences, and business appointments.
  • Prepare meeting agendas, record minutes, and monitor follow-up actions.
  • Handle incoming calls, emails, letters, and inquiries professionally and confidentially.
  • Maintain filing systems, records, contracts, and company documents in both hard and electronic formats.
  • Assist in preparing reports, presentations, proposals, and business documentation.
  • Coordinate with departments, clients, suppliers, government entities, and stakeholders as directed by management.
  • Monitor and track pending tasks, deadlines, approvals, and action items.
  • Ensure proper safekeeping of confidential and sensitive company information.
  • Support management in administrative, operational, and project-related activities.
  • Arrange travel bookings, accommodations, transportation, and related logistics when required.
  • Perform other administrative and secretarial duties assigned by management.

Qualifications

  • Bachelor's Degree or Diploma in Business Administration, Office Management, Secretarial Studies, or a related field.
  • Minimum 3–5 years of experience in executive secretarial, administrative, or office management roles.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in English; Arabic is an advantage.
