Job Summary

  • The Executive Personal Assistant provides full administrative and secretarial support at a senior level to ensure the smooth management of day to day affairs.

Job Responsibilities 1

  • Ensure proper compilation of data and prepare error free reports
  • Process and respond professionally to all incoming and outgoing communications
  • Remain strictly professional and approachable, provide excellent customer service
  • Maintain an accurate and up to date scheduler for the direct supervisor
  • Check admission of guests without appointments and maintain a visitor log
  • Ensure total confidentiality and accurate distribution of correspondences
  • Ensure documents are distributed to concerned personnel in a timely manner
  • Record distributed documents and monitor actions taken for correspondence requiring reply
  • Screen and forward approved calls to the direct supervisor
  • Monitor all documents coming in or leaving the department in compliance with quality management
  • Ensure proper dissemination of emails and timely delivery of couriers/packages
  • Collate data and prepare professional reports, memos, or presentations as requested

Additional Responsibilities

  • Support the implementation of HSE initiatives, participate in safety awareness activities, and contribute to incident reporting and resolution.

Job Knowledge & Skills

  • Proficiency in administrative tasks such as scheduling meetings, managing calendars, organizing travel arrangements, and handling correspondence
  • Ability to prioritize tasks, manage deadlines, and handle multiple responsibilities simultaneously
  • Understanding of confidentiality in handling sensitive information
  • Excellent verbal and written communication skills
  • Strong problem solving skills
  • ERP knowledge preferably SAP functional skills

Job Experience

  • Minimum 5 year(s) working experience, 3 year(s) relevant working experience, 2 year (s) GCC is a plus

Education

  • Bachelor's Degree in Business Administration or any related field
