About the Role

- Minimum 5 years working experience, 3 years relevant
- Bachelor's Degree in Business Administration or related field
- ERP knowledge preferably SAP functional skills
- Proficiency in administrative tasks such as scheduling, calendar management, travel arrangements
- Excellent verbal and written communication skills
- Strong problem solving skills

Job Summary
- The Executive Personal Assistant provides full administrative and secretarial support at a senior level to ensure the smooth management of day to day affairs.
Job Responsibilities 1
- Ensure proper compilation of data and prepare error free reports
- Process and respond professionally to all incoming and outgoing communications
- Remain strictly professional and approachable, provide excellent customer service
- Maintain an accurate and up to date scheduler for the direct supervisor
- Check admission of guests without appointments and maintain a visitor log
- Ensure total confidentiality and accurate distribution of correspondences
- Ensure documents are distributed to concerned personnel in a timely manner
- Record distributed documents and monitor actions taken for correspondence requiring reply
- Screen and forward approved calls to the direct supervisor
- Monitor all documents coming in or leaving the department in compliance with quality management
- Ensure proper dissemination of emails and timely delivery of couriers/packages
- Collate data and prepare professional reports, memos, or presentations as requested
Additional Responsibilities
- Support the implementation of HSE initiatives, participate in safety awareness activities, and contribute to incident reporting and resolution.
Job Knowledge & Skills
- Proficiency in administrative tasks such as scheduling meetings, managing calendars, organizing travel arrangements, and handling correspondence
- Ability to prioritize tasks, manage deadlines, and handle multiple responsibilities simultaneously
- Understanding of confidentiality in handling sensitive information
- Excellent verbal and written communication skills
- Strong problem solving skills
- ERP knowledge preferably SAP functional skills
Job Experience
- Minimum 5 year(s) working experience, 3 year(s) relevant working experience, 2 year (s) GCC is a plus
Education
- Bachelor's Degree in Business Administration or any related field
