Overview
To manage end-to-end HR operations and administrative functions in compliance with UAE Labour Law and company policies.
The role ensures smooth employee lifecycle management, government coordination through typing centres, and efficient handling of company facilities, accommodation, and assets.
• HR Operations (UAE Labour Law Compliance)
- Manage the complete employee lifecycle: recruitment coordination, onboarding, confirmations, transfers, and separations.
- Prepare and maintain employment contracts in line with Ministry of Human Resources and Emiratisation regulations.
- Coordinate WPS (Wage Protection System) payroll inputs and ensure timely salary processing.
- Maintain employee records in line with UAE compliance and audit requirements.
- Track and manage leave, attendance, and overtime as per UAE Labour Law.
- Support performance management and employee engagement initiatives.
- Handle disciplinary processes, warning letters, and grievance management.
- Ensure adherence to UAE Labour Law (Federal Decree Law No. 33 of 2021).
- Visa & Government Coordination (Through Typing Centers)
- Manage end-to-end employment visa processing (new, renewal, cancellation) through approved typing centers.
- Coordinate with authorized typing centers for submissions on:
- General Directorate of Residency and Foreigners Affairs
- Federal Authority for Identity Citizenship Customs and Port Security
- Ensure timely processing of:
- Labour approvals and contracts
- Emirates ID applications
- Medical fitness tests
- Visa stamping and cancellations
- Maintain a comprehensive tracker for visa status, expiries, and renewals.
- Ensure accuracy and compliance of all submissions made via typing centers.
- Liaise with typing centers for follow-ups, issue resolution, and documentation.
- Coordinate for labour inspections and required documentation.
2.Payroll, Insurance & Benefits
Coordinate payroll inputs including attendance, leave, overtime, and deductions.
Ensure WPS compliance and timely salary disbursement.
Manage employee medical insurance:
Enrolment, deletion, and renewals
Claims coordination with providers
Ensure compliance with: General Pension and Social Security Authority (for UAE nationals)
Handle end-of-service benefits (gratuity) calculations as per UAE Labour Law.
3. Accommodation And Camp Management
- Oversee labour camps / staff accommodation:
- Room allocation and occupancy management
- Hygiene, safety, and municipality compliance
- Coordinate maintenance, housekeeping, and utilities.
- Ensure compliance with UAE labour accommodation standards.
- Maintain records for camp audits and inspections.
• Fleet & Transportation Management
- Manage company vehicles and transportation:
- Allocation and usage tracking
- Registration, renewals, and insurance
- Coordinate compliance with relevant authorities such as Roads and Transport Authority.
- Monitor fuel usage, servicing, and maintenance schedules.
- Maintain driver records, licenses, and compliance with UAE traffic regulations.
5. General Administration
- Oversee office and site administration including facilities management.
- Manage vendors and service providers (contracts, negotiations, renewals).
- Handle office supplies, assets, and inventory control.
- Ensure health & safety compliance across office, factory, and camps.
- Support internal and external audits (ISO or compliance-related).
6. Policies, Compliance & Reporting
- Implement and monitor HR & Admin policies aligned with UAE laws.
- Prepare and maintain MIS reports on:
- Headcount
- Visa status
- Employee turnover
- Admin and operational costs
- Ensure readiness for government inspections and audits.
- Maintain strict confidentiality of employee and company data.
