Role Overview
Support the CEO with high-level executive assistance, priority management, and operational follow-through.

Executive Support and Meetings
- Own the CEO’s calendar, complex scheduling, time-zone alignment, conflict resolution, and inbound-request filtering.
- Anticipate high-priority requirements and handle sensitive, proprietary, and confidential matters with discretion.
- Prepare agendas, context, pre-reads, presentation materials, meeting notes, action items, and decision logs.
- Drive accountability for executive-team deliverables and draft communications, briefs, and responses for the CEO.
Office Operations and Compliance
- Manage facilities, lease agreements, Ejari registrations, property insurance, local business licenses, vendors, contracts, SLAs, and procurement.
- Maintain office safety, access control systems, inventory tracking, and facility maintenance schedules.
- Liaise with landlords, building management, government authorities, and legal advisors to support compliance.
Coordination and Travel
- Bridge information flow between business unit heads and implement solutions for operational gaps and administrative delays.
- Plan corporate events, team off-sites, board meetings, and high-level client visits.
- Coordinate international flights, accommodation, visas, ground transport, and expense reporting.
Required Qualifications
- Minimum five years of experience in dual Executive Assistant and Office Management roles supporting C-suite executives or founders.
- Proven experience with office leases, Ejari, commercial property insurance, vendor contracts, and trade license renewals.
- Ability to evaluate administrative processes, identify flaws, and implement structured fixes.
- International mobility is required; specific passport eligibility is stated in the source posting.
Preferred Background
- Experience in multi-entity, international, or rapidly scaling organizations is preferred.
- A background in technology, professional services, or corporate operations is preferred.
- Experience with regional government entities and free-zone or local licensing bodies is preferred.
Skills
- Executive communication, calendar and time management, action tracking, stakeholder management, documentation, discretion, and emotional intelligence.
- Strong understanding of commercial contracts, legal terms in vendor agreements, and lease documentation.
- Advanced proficiency with calendar software, task-tracking platforms, and productivity suites including Microsoft 365, Google Workspace, and Asana.
- Process mapping, operational problem-solving, and vendor negotiation skills.
