About the Role

  • We are looking for an exceptional Executive Assistant to support our leadership team in Dubai.
  • As an Executive Assistant, you will play a key role in supporting senior leadership by ensuring daily operations run efficiently.
  • You will manage schedules, coordinate meetings, handle confidential information, assist with projects, and serve as a trusted partner in keeping priorities organized.
  • This is an in person role based in Dubai and is ideal for someone who enjoys taking ownership, thinking ahead, and working in a dynamic business environment.

Key Responsibilities

  • Manage executive calendars, appointments, and daily schedules.
  • Coordinate meetings, prepare agendas, and take meeting notes when required.
  • Handle email correspondence and prioritize communications.
  • Arrange business travel, accommodation, transportation, and itineraries.
  • Prepare reports, presentations, spreadsheets, and business documents.
  • Track projects, deadlines, and follow up with internal and external stakeholders.
  • Assist with recruitment coordination, onboarding, and administrative tasks when needed.
  • Liaise with clients, suppliers, and business partners professionally.
  • Organize company documents, contracts, and confidential records.
  • Support day to day business operations and provide administrative assistance across multiple departments.
  • Anticipate executive needs and proactively solve problems before they arise.
  • Perform other executive support duties as assigned.

Requirements

  • Previous experience as an Executive Assistant, Personal Assistant, Office Manager, or Administrative Assistant.
  • Excellent written and spoken English communication skills.
  • Strong organizational, planning, and multitasking abilities.
  • Exceptional attention to detail and ability to manage multiple priorities.
  • Highly proactive with excellent problem solving skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Experience using productivity and project management tools is an advantage.
  • Comfortable working in a fast paced, deadline driven environment.
  • A positive attitude, strong work ethic, and willingness to learn.
