Overview

I’m looking for a highly organized, detail-oriented, and proactive

Executive Personal & Operations Assistant

to work closely with me across my companies and projects.

This is not a traditional assistant role.

The right person will act as my

executive memory, operations coordinator, follow-up controller, and personal office manager

.

Key Responsibilities

  • You will be responsible for:
  • Managing my calendar, meetings, reminders, and daily priorities.
  • Preparing briefs before meetings and extracting action points afterward.
  • Following up on clients, team members, partners, suppliers, and pending tasks.
  • Managing client files, documents, checklists, and operational updates.
  • Updating CRM/project management tools such as ClickUp, Google Drive, Google Calendar, and related systems.
  • Coordinating documents, appointments, visa/residency processes, attestations, and external service providers.
  • Preparing professional WhatsApp messages, emails, reports, meeting notes, and follow-up summaries.
  • Researching vendors, service providers, opportunities, and operational solutions.
  • Building organized trackers, SOPs, templates, and follow-up systems.
  • Making sure no client, document, deadline, meeting, or decision is missed.

Requirements

  • The ideal candidate should have:
  • Excellent organizational and follow-up skills.
  • Strong Arabic and English communication skills.
  • High attention to detail.
  • Ability to manage multiple tasks, clients, and priorities at the same time.
  • Good writing skills for emails, WhatsApp messages, and reports.
  • Confidence using Google Drive, Google Calendar, spreadsheets, CRM or task management tools.
  • Ability to research, compare options, and communicate with external providers.
  • A proactive mindset and the ability to remind, follow up, and escalate when needed.
  • High discretion and confidentiality.
  • Experience in executive assistance, operations coordination, customer success, immigration/visa services, business setup, or project management is a strong plus.
