About the Role

  • Provide comprehensive administrative support to the Head of IOS and Head of Finance & Admin, including managing complex calendars, scheduling meetings, and coordinating travel arrangements across multiple time zones.
  • Prepare, review, and edit correspondence, reports, presentations, and other business documents with a high degree of accuracy and professionalism.
  • Facilitate communication between Head of IOS, Head of Finance & Admin, centre leadership teams, and corporate stakeholders to ensure alignment and timely information flow.

  • Organize and coordinate meetings, including agenda preparation, minute taking & documentation, and follow up on action items.
  • Liaise with relevant departments and teams to ensure efficient execution of the respective functional objectives and priorities.
  • Support key regional initiatives and projects led by the Head of IOS and Head of Finance & Admin, including tracking and reporting progress, and coordinating with internal stakeholders to achieve outputs.
  • Support the Head of IOS and Head of Finance & Admin by generating insights, summaries, and draft communications using AI tools while ensuring accuracy and relevance.
  • Ensure compliance with regional and corporate policies and procedures in all administrative and coordination activities.
  • Maintain accurate records, filing systems, and documentation for ease of access and compliance.
  • Ensure accurate completion of monthly travel and other related expenses for the Head of IOS and Head of Finance, ensuring timeous approval and submissions for reimbursement.

Your Profile

  • Bachelor's degree in Communications and Business
  • Excellent communication and administration skills
  • Proficient knowledge of MS Office applications
  • Problem solving and analytical skills
  • Collaboration and attention to detail
  • Ability to prioritise and manage multiple deliverables
  • Integrity and confidentiality
