Responsibilities
- Maintain organized client records, documentation, forms, and operational processes in alignment with company policies, regulatory requirements, and documentation standards.
- Support advisors with financial planning preparation, including Tax Efficiency Checklists, Net Worth Statements, planning documents, analysis, client presentation materials, and fee-based planning support.
- Develop proficiency in key business and planning tools, including Salesforce CRM, Morningstar, MoneyGuidePro, What-If Tax software, DocuSign, and e-application platforms.
- Prepare, process, and track client service requests, account paperwork, applications, transfers, QCD requests, DocuSign documentation, and other required forms in accordance with compliance standards.
- Document client meeting notes in Salesforce using approved technology and maintain accurate follow-up records.
- Coordinate client communication and scheduling, including incoming calls, appointment setting, confirmation reminders, and requests for tax returns, account statements, or other documentation.
- Proactively support advisor efficiency, office workflow, and a seamless, professional client experience throughout the planning process.
- Other duties as assigned.
Position Qualifications
- 2+ years of administrative assistant or other relevant job experience required
- Financial services, banking, insurance, or wealth management experience preferred
- Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) or ability to learn
- Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
- Ability to maintain integrity of sensitive/confidential information
- Ability to work in a fast-paced environment
- Basic understanding of our products, services, and Thrivent Financial
