- Source, negotiate, and manage vendors and services including venues, accommodations, and AV
- Provide onsite or virtual event support to ensure seamless delivery
- Conduct post event evaluation and document key learnings

Job Description
- YPO is a global leadership community of over 35,000 chief executives from more than 140 countries.
- Supporting these members is a world class management team of more than 450 associates, spanning over 25 countries.
- This is a remote, work from home position with 25 40% travel, domestic and international.
Responsibilities
- Partner with key stakeholders and YPO members to co create innovative, high impact events.
- Lead the full lifecycle of event planning and delivery, including concept development, budgeting, logistics, execution, and evaluation.
- Facilitate early engagement of YPO members through workshops and planning calls.
- Work closely with finance partners to build and forecast event budgets.
- Independently manage event budgets ranging from USD 50K to 3M.
- Collaborate with Marketing and Communications teams to create targeted marketing plans.
- Source, negotiate, and manage vendors and services.
- Identify and mitigate risks with Security and Risk Compliance teams.
- Create and maintain Master Event Plans.
- Lead event discovery calls, planning meetings, and site visits.
- Collect attendee feedback and lead internal debriefs.
- Complete all required close out activities within 60 days post event.
Skills
- Proven ability to plan, manage, and execute complex in person and virtual events.
- Detail oriented and organized, with excellent time management.
- Strong budget management skills.
- Confident using event tools like Cvent, Microsoft Office, Zoom, ClickUp, and SharePoint.
- Excellent verbal and written communication.
- Strong diplomacy and relationship building with members, C level executives, vendors, and global teams.
- Takes ownership, shows initiative, and makes informed decisions under pressure.
- Comfortable leading without authority.
- Creative and solution focused.
- Emotionally intelligent, self aware, and respectful of global customs.
- Collaborative and resourceful.
- Open to feedback and committed to ongoing learning.
Experience/Background
- Minimum of 5+ years of experience in event design or management.
- At least 2+ years of virtual event experience.
- Experience with Cvent, Zoom, Adaptive, Salesforce and other online platforms preferred.
- Proficient in Microsoft Office Skills/Software and database management.
- Experience with luxury or incentive event experience preferred.
Education/Training/Certification
- Bachelor's degree or equivalent.
- Preferred certifications: Cvent certification, Virtual Event certification, CMM, CMP, PMP.
Physical Requirements
- Ability to work flexible and/or extended hours as needed.
- Ability to work for extended hours at a computer screen.
- Willingness and ability to travel 25 40% per year.
