Role Overview
Top Hat is hiring an Event Marketing Specialist to support the execution and optimization of its event marketing program.
The program includes webinars, trade shows, conferences, and an annual user conference.
The role works across Marketing, Sales, and Customer Success to plan, promote, and execute events.
Strategy and Event Execution
- Execute event marketing plans and translate goals and KPIs into concrete actions.
- Recommend tactical optimizations based on past event performance.
- Lead venue selection, booth design, staffing, vendor management, timelines, and budgets for assigned events.
- Serve as the primary contact for vendors and venues, negotiating terms and resolving issues.
- Support internal events that foster connection and promote company culture.
Content and Audience Engagement
- Coordinate event-specific content with email, social, web, and creative channel owners.
- Track deliverable timelines and flag risks before they become blockers.
- Execute lead capture, networking logistics, attendee communications, and other pre-event, during-event, and post-event tactics.
- Collect and compile attendee feedback.
Measurement and Reporting
- Track registrations, attendee demographics, website traffic, and conversion rates.
- Build clean, standardized reports for leadership review after events.
- Flag notable trends or anomalies in event data.
Qualifications
- At least two years of event marketing or event operations experience.
- Proven experience managing multiple vendors, event budgets, and project timelines simultaneously.
- Strong attention to detail and comfort working in a fast-paced, deadline-driven environment.
- Strong written and verbal communication skills for vendor negotiation and cross-functional coordination.
- Comfort pulling and organizing event performance metrics into clean reporting.
- Flexibility to travel and work occasional evenings and weekends for events.
Preferred Skills
- Familiarity with project management software, event management software, Salesforce, Google Workspace, or generative AI is considered an asset.
