- Maintain and control all project documentation, including drawings, submittals, approvals, reports, and correspondence
- Establish and maintain document control registers and filing systems
- Ensure proper document numbering, tracking, distribution, and archiving
- Monitor document revisions and maintain up to date records
- Coordinate document submissions to clients, consultants, contractors, and authorities
- Prepare, format, and distribute project reports, letters, and meeting minutes
- Manage incoming and outgoing correspondence
- Provide administrative and secretarial support to project and management teams
- Maintain confidentiality of company and project information
- Assist in scheduling meetings, coordinating logistics, and managing office records
- Ensure compliance with company document control procedures and project requirements
Requirements
- Diploma or bachelor's degree in business administration, office management, or related field
- Minimum 4 years of experience as a document controller, secretary, or administrative coordinator
- Experience in construction, engineering, or project based environments preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Familiarity with electronic document management systems (EDMS)

Position Summary
- Saeed Salem Khalfan SSK Enterprises LLC is seeking a proactive and detail oriented document controller/secretary to manage project documentation and provide administrative support to project and management teams.
