Position Summary

  • Saeed Salem Khalfan SSK Enterprises LLC is seeking a proactive and detail oriented document controller/secretary to manage project documentation and provide administrative support to project and management teams.

Key Responsibilities

  • Maintain and control all project documentation, including drawings, submittals, approvals, reports, and correspondence.
  • Establish and maintain document control registers and filing systems.
  • Ensure proper document numbering, tracking, distribution, and archiving.
  • Monitor document revisions and maintain up to date records.
  • Coordinate document submissions to clients, consultants, contractors, and authorities.
  • Prepare, format, and distribute project reports, letters, and meeting minutes.
  • Manage incoming and outgoing correspondence.
  • Provide administrative and secretarial support to project and management teams.
  • Maintain confidentiality of company and project information.
  • Assist in scheduling meetings, coordinating logistics, and managing office records.
  • Ensure compliance with company document control procedures and project requirements.

Required Qualifications

  • Diploma or bachelor's degree in business administration, office management, or a related field.
  • Minimum 4 years of experience as a document controller, secretary, or administrative coordinator.
  • Experience in construction, engineering, or project based environments is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with electronic document management systems (EDMS).

Preferred Qualifications

  • Experience handling project documentation for construction or infrastructure projects.
  • Knowledge of document control standards and procedures within the UAE market.
